We are currently hiring for Head - Coordination and Document Control as an outsourced role, who will develop and implement an efficient document control system to facilitate document management, archiving and retrievable processes.
An Ideal candidate should be:
- Locally available in Qatar with valid QID
- 7+ years of experience in document control and coordination
- Experience in integrated workplace Management Systems or equivalent
- Understanding of Building permit process
- Experience of related software and applications i.e. MS Office, Adobe, etc. and EDMS solutions. Advance Excel skills required.
- Bachelor’s degree in information management, Business Administration, or relevant discipline.
Job Responsibilities:
- Review the existing document control policies and procedures and perform gap analysis.
- Recommend, design, and implement advanced system and processes to continuously enhance the document control infrastructure in alignment with industry best practices.
- Conduct regular file validation audits to ensure compliance quality standards. Identifying gaps for corrective actions.
- Ensure strict adherence to QD’s operating procedures for document submission, retention, destruction timelines, and regulatory compliance.
- Ensure compliance with QD document naming procedures.
- Ensure that incoming and outgoing mail is logged and follow up related actions.
- Facilitate effective communications between internal teams and external stakeholders, ensuring alignment on document control processes.
- Monitor progress on action plans across DPP departments, ensuring timely completion of tasks related to document management.
- Develop comprehensive status reports on ongoing applications, projects, and document control performance metrics for senior management review.
- Perform other duties and responsibilities as needed as well as determine and manage priorities with minimal guidance.
