Project Management Officer 2 (PMO)

Role Overview:

The PMO will be responsible for supporting project managers in ensuring the smooth execution of the payment program, focusing on budget tracking, vendor/supplier management, reporting, and project coordination. The role requires 5-7 years of relevant PMO experience and involves managing resources, tracking progress, and facilitating communication between stakeholders.

Key Responsibilities:1. Budget Tracking and Reporting:

  • Publish budget utilization reports (month-on-month tracking).
  • Collaborate with the Project Manager to ensure accountability for the project budget.
  • Track expenses, manage expense gaps, validate expenses (planned vs. actual vs. adjusted), and address discrepancies/over-spends.
  • Manage budget-related risks (identification, monitoring, and mitigation).

2. Vendor/Supplier Management:

  • Support internal contract management processes, including TPRM (Third-Party Risk Management) and Legal Clearance.
  • Assist in the Vendor/Supplier contracting and e-Memo processes.
  • Manage Vendor/Supplier invoice processes, including timesheet reviews (with PM) and optimizing the timesheet review process.

3. Reporting:

  • Weekly Status Reports (WSR) and Fortnight Meetings:
    • Schedule meetings and manage logistics according to the project governance plan.
    • Coordinate pre-consultations with stakeholders, draft and publish status reports, and minutes of the meeting.
    • Track and manage action items until closure.
  • SteerCo Meetings:
    • Manage logistics, schedule pre-consultations, and collaborate with the PM to draft and publish SteerCo decks.
    • Review and publish minutes, and track action items to completion.
4. Project Management Support and Coordination:

  • PM Support:
    • Maintain and track RAIDS register (Risks, Assumptions, Issues, Dependencies).
    • Support stakeholder matrix and communication plan maintenance.
    • Assist with new project initiation and setup activities.
    • Provide financial planning support and assist with Kessai process (including drawdown reviews).
    • Track project and program actions (TO-DO tracker).
  • Resource Demand Management:
    • Manage demand forecasting and fulfillment for the payment program.
    • Create and maintain the resource loading sheet (RLS) and manage resource requisition processes (sourcing, setup, and interviews).
    • Oversee resource onboarding processes, including laptop issuance, ID card access, and leave management for project resources.
Experience & Skills:

  • Five to Seven years of relevant experience in a PMO role, ideally within project management.
  • Strong organizational and communication skills.
  • Proficiency in managing budgets, vendor/supplier processes, and supporting project management functions.
  • Ability to handle resource management, reporting, and project coordination efficiently.
