Job Introduction:
This position is responsible and accountable for effectively managing the day to day operations / allocated contract sites and staff by providing the highest quality, compliant and professional security service to its customers that reflects well on the international Brand of G4S.

Job Responsibility:
- Ensures that the service is provided in accordance with the Law including, but not limited to, PLRD and Min. of Manpower requirements, Client service agreement / assignment instructions, CAF, and in accordance with the agreed company / G4S Group policies, procedures and instructions and as may be amended from time to time. This includes S360, ISO, IT, Skywalker and other core operating / admin / HR systems processes and requirements, etc.
- Acts in accordance with the G4S values at all times. Demonstrates this as a role model for all other staff.
- Recommends new sales leads to Sales Director, National Ops Director and MD in writing.
- Directly leads, manages / provides advice and guidance to / supervises / monitors to ensure that procedures and best practice are being followed at all times by staff under direct control
- Encourages and nominates, in writing, staff for formal awards / recognition for their good work done in a very timely manner.
- Daily liaison with Ops Director and or delegate as required. Keeps Ops Director immediately informed of all significant incidents/cases in writing as there may be a need to escalate to higher levels of management. This includes HSE as well as Security incidents which can be recorded into S360.
- Responsible for ensuring the correct scheduling of all staff, full and proper manpower coverage is delivered and maintained at the Client sites at all times for all shifts. Ensures duties are recorded and monitored accurately through the relevant Skywalker Officer / Control Room and appropriate time and attendance recording methods.
- Liaises with the Control Room to ensure compliance with the Skywalker system rules and regulations and ensures timely information updates for time and attendance, including new contracts and amendments to contracts, schedule changes, events/temp jobs and the manning thereof, etc.
- Ensures time and attendance recording is accurate and submitted on a timely basis to ensure invoicing is issued on time every time for regular tasks as well as temporary tasks
- Responsible for maintaining strict and fair discipline with all staff under care
- Prevent and eradicate over-manning, long hours of work exceeding PLRD rules, free of charge service and poor manpower scheduling.
- Keeps overtime to an absolute minimum unless correctly authorized.
- Ensures all staff at site under care is appropriately trained for their tasks and that all evidence of training i.e. content, attendance and relevant documentation is maintained and kept of staff personal files. Close liaison is needed for this by the OE.
- Ensures all staff are appropriately vetted per legal, group and client requirements in advance before they are deployed to site unless formally authorized otherwise.
- Keeps the G4S SG internal client portal and folders within up to date at all times relevant to sites under care.
- Assists and pursues overdue collections from clients to reduce debt and improve OCF (Operating Cash Flow).
- Ensures that customer sites are visited and inspected on a regular basis per personal plans, both scheduled and unscheduled (including day and night visits). This includes use of S360 to validate visits and record any site based requirements surveys etc.
- Ensures the preparation, production, maintenance and updating of site Assignment Instructions and ensures that they are placed on every site, including temporary jobs. Ensures that the AI’s are prepared and placed on site in advance of when any guard deploys. These must be prepared in advance and agreed with the client. Ensures the standard AI format is utilized and that staff are briefed on their content to ensure staff know their duties.
- Conducts regular site risk security and Health and Safety related risk surveys and re-surveys and that findings are documented and make recommendations for improvement to customers to improve security arrangements at the site including doing security and Health & Safety risk surveys before a new contract starts or when the situation requires it be done.
- Ensures training (including on-site training as appropriate) is given to all staff (site and office based staff) in order that they can effectively carry out their tasks. Ensures evidence of such training is included into the staff personal files.
- Ensures administration of tasks is well kept, maintained & up to date for him/herself & the client. This includes keeping the G4S SG Portal up to date as applicable to the OE/AOM work and tasks at site i.e. KPI points etc.
- Ensures the smart and correct appearance of all guarding and office based staff at all times so that the image of the company and the Customers are maintained at the highest levels.
- Ensures that contingency plans are made in advance that may affect the Client sites including emergency staff that may be required and develops plans relevant to the office and MSS operations generally.
- Ensures that all company provided and Client provided equipment is accounted for and inventoried at the company’s premises and/or on site where applicable and ensures that any losses/damages are investigated immediately. Carries out and oversees regular audits of site and company provided equipment. Requests for repairs and or replacements as necessary on a timely basis in accordance with procedures. No client site should be without equipment necessary for the direct staff there to carry out their task(s) as stated in the client contract agreement.
- Ensures that all major incidents and or wrong-doing by G4S staff or allegations thereof, occurring at or near Client sites are investigated immediately thoroughly and ensures full and accurate reporting investigation/information gathering and documentation thereof. Attends the scene if and as required. Reports immediately to the Ops Director and in his absence, the MD.
- Ensures and is responsible for smooth and efficient contract start-up/enhancements, mobilization, kick-off and implementation plan meetings, socialization, staff selection, recruitment, training, logistics, equipment procurement, liaison with local community, police, military and local government officials as applicable and overall coordination direction for new Client contracts. This is to be achieved through correct and thorough planning plus following company procedures which are to be in accordance with the Contract and its Start-Up instructions. This includes demobilization.
- Ensures all customer claims for loss or damage are reported immediately to the Ops Director and Finance Director and investigated immediately, properly and thoroughly and documented correctly. Ensures that the company is protected from claims and claim allegations. No admission of liability is to be made. The investigation and insurance company will determine responsibility and liability.
- Ensures that security and HSE audits are carried out on all customers on a regular agreed programme and surveys of new client sites are done in advance to ensure the client is provided with a professional service solution to their particular requirements. All such surveys and recommendations must be documented to the client and copied to the Ops Director and Compliance Manager. This includes conducting penetration tests on key sites to test the awareness and alertness of G4S site staff and their adherence to A.I.’s / procedures.
- Responsible for immediately reporting to the Ops Director any contract/client that may be considering terminating the company’s service and working on/ implementing a recovery plan. If a client terminates our service complete the Client Service Termination form and ensure all company equipment is recovered from the site in a timely manner.
- Actively manages and oversees temporary services which can include Event work. This is important as the image of G4S is to be well represented. Careful briefings and supervision is required together with appropriate planning.
- Develops and maintains good relationships with Police, local and relevant Government offices and Communities.
- Carries out contract self-assessment audits on contracts under care to ensure contractual and legal compliance
- Makes written recommendations for improvements / efficiencies to site security including optimization. Encourages staff to do the same for the benefit of the company and the client.
- Records, handles and investigates complaints from clients in accordance with company policy and procedures. Develops and manages Corrective Action Plans (CAP) to fix complaint(s) and prevent / mitigate re-occurrences. Keeps client advised, verbally and in writing, in a timely manner, of progress to solve complaint(s). Disciplines staff as and if appropriate.
- Maintains strict and appropriate confidentiality regarding security at client sites.
- Reports any ill-discipline, illegal act or breach of G4S values by any staff member witnessed to immediate superior immediately verbally and in writing. Use of the Group ‘Speak Out’ hotline can be used for appropriate reporting of such breaches witnessed.
- Keeps self fully informed about Group / Regional activities via The Hub.
- Carry out any other instruction / policy / procedure approved / sanctioned by Management / Company / Group as may be issued either verbally or in writing.
- Responsible for the team's attendance taking, deployment, morale and rostering.
- Manage events and taskings on behalf of G4S and Client
- Monitoring of CCTV and alarms for all Singapore sites.
- Attend to security and/or emergency incidents and escalate to G4S and Client as required.
- Assist G4S and the Client with internal investigations, if required.
- A Diploma in Security or equivalent disciplined service qualification / experience
- Commissioned Officer from Military or Police
- PLRD grade of Senior Security Supervisor or Chief Security Officer
- At least 5 years hands-on experience in a operational administrative/management
- Demonstrated ability to work unsupervised.
- Be able to efficiently manage and control assets of the company.
- Ability to communicate effectively in English, both verbal and written
- Computer literate
- Knowledge of financial, commercial and legal related matters an advantage
- Be a customer service people oriented person
- Undergoes and keeps abreast of PLRD / PWM training course requirements. Aim being to have completed / passed all courses up to and including CSO irrespective of possessing a waiver due to previous career employment.
