Project Coordinator

Job Summary

The Project Coordinator will support the successful planning, execution, and completion of projects. This role involves working closely with the Project Manager on new tasks, coordinating project activities, managing schedules, supporting project plan development, and ensuring effective communication between project team members and stakeholders. This role also requires maintaining project documentation, analyzing data, and supporting program teams with financial tracking, invoicing, and reporting. Proficiency in Smartsheet is critical for effectively managing and tracking project tasks, timelines, and deliverables. The ideal candidate must be comfortable navigating ambiguity, taking detailed notes during meetings, following up on action items, and interacting with senior leadership. Healthcare experience is preferred.


Education

  • Bachelor’s degree in Business Administration, Information Systems, or equivalent experience.


Work Experience

  • 1-3 years of experience in project coordination.
  • Healthcare experience preferred.
  • Experience coordinating large, multisite product rollouts is a plus.

  • Proficiency with Smartsheet for project management and collaboration.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively in a team environment.
  • Strong analytical and problem-solving skills.
  • Ability to understand and operate effectively in situations with ambiguity.
  • Experience with Microsoft Office Suite, SharePoint, Visio, and Excel.
  • Experience working in a matrixed environment.
  • Familiarity with structured System Development Life Cycle (SDLC) processes.
  • Ability to facilitate large meetings and effectively communicate with all levels of management.


Essential Functions

  • Essential functions are the tasks, duties, and responsibilities critical to the performance of the job. The Project Coordinator’s essential functions include:Assist in planning and executing projects from initiation to closure.
  • Coordinate project activities, ensuring alignment with objectives and deadlines.
  • Utilize Smartsheet to develop and maintain project documentation, including project plans, timelines, and status updates.
  • Schedule and coordinate meetings, ensuring all necessary stakeholders are involved.
  • Take detailed notes during meetings and follow up on action items to ensure timely resolution.
  • Facilitate project meetings, including preparing agendas, taking minutes, and following up on action items.
  • Organize and maintain project files for easy access and reference.
  • Build strong relationships to foster collaboration with team members and stakeholders.
  • Work closely with the Project Manager to support new tasks and initiatives.
  • Analyze and compile data from various sources to inform project decisions and documentation.
  • Prepare reports and presentations for multiple types of audiences.
  • Support program teams with project costing, invoicing, and overall financial tracking.
  • Maintain project status reporting and planning to ensure deadlines are met.
  • Evaluate and prioritize tasks to support program delivery.

The compensation range for this position is $25/hr-$30/hr (dependent on factors including but not limited to client requirements, experience, statutory considerations, and location).
