The Role

Swap is looking for our first People Operations Associate who will report into the VP of People and assist with the execution of people processes, payroll, and operational streamlining to enhance employee experience and organisational efficiency. This role requires strong organisational skills, attention to detail, and a passion for all things people related.


Key Responsibilities

  • Maintain and update employee records in the HRIS to ensure accuracy and compliance
  • Support onboarding and offboarding processes, including preparing documentation, and conducting exit interviews
  • Support Recruitment team on coordinating interviews
  • Assist with payroll administration, benefits enrollment, and time-off tracking
  • Manage the relationship with the payroll providers for all group companies in 4 countries
  • Prepare and distribute monthly payroll files to payroll providers outside the UK
  • Together with Finance, manage employee and employer taxes and ensure prompt payment to tax authorities globally
  • Assist in organising company-wide events, team-building activities, and recognition programs
  • Identify opportunities to streamline and build HR processes, policies, and tools alongside the VP of People
  • Assist with creating and maintaining internal documentation, such as employee handbooks and policy guides
  • Coordinate learning and development programs, including scheduling training sessions and tracking participation.
  • Support performance review cycles by ensuring timelines, tools, and materials are communicated effectively


Requirements

  • 2 years+ of experience in a People Operations or HR related role
  • Experience in executing and coordinating payroll
  • Familiarity with HRIS and ATS systems and standard office software (Google Workspace).
  • Strong organisational and time-management skills with attention to detail
  • Excellent written and verbal communication skills
  • Experience in a fast-paced, tech-driven, or startup environment
  • Knowledge of HR best practices - Essential
