Contract Manager


Job Description:


The Contract Manager is responsible for managing the entire lifecycle of contracts related to facility services. This includes drafting, negotiating, reviewing, and ensuring compliance with contractual agreements between the company and its clients, vendors, and service providers. The Contract Manager ensures that all contracts are executed effectively, meet legal requirements, and align with the company's objectives in delivering high-quality facility management services.


Key Responsibilities:


Project Planning & Coordination:

  • Develop and implement detailed project plans, including timelines, resource allocation, and budget management.
  • Coordinate with clients, internal teams, and vendors to ensure project goals and requirements are clearly defined and met.
  • Oversee multiple facility-related projects simultaneously, ensuring all projects are completed efficiently.


Contract Drafting, Review & Negotiation:

  • Draft, review, and negotiate service agreements with clients, vendors, and subcontractors (e.g., maintenance, cleaning, security, HVAC).
  • Ensure that contract terms reflect the scope of services, pricing, and service level expectations.
  • Negotiate terms that balance client requirements with company objectives, minimizing risk.


Compliance & Risk Management:

  • Ensure contracts comply with industry regulations, legal requirements, and internal policies.
  • Identify risks associated with service delivery, penalties, liabilities, and work with relevant teams to mitigate them.
  • Monitor adherence to contract terms, including timelines, budgets, and quality of service provided.


Contract Performance Monitoring:

  • Oversee and ensure the execution of all contracted services is performed in accordance with the established contract terms and service level agreements (SLAs).
  • Collaborate with operations teams to track performance and resolve any service-related issues promptly.
  • Ensure that contract performance is regularly evaluated and documented.


Client and Vendor Management:

  • Serve as the main point of contact for clients and vendors regarding contract-related matters.
  • Manage relationships with key stakeholders to ensure contract execution aligns with client expectations.
  • Coordinate with internal teams to communicate contract specifications and requirements.


Cost Control and Budget Management:


  • Ensure contract pricing is competitive while maintaining profitability for the company.
  • Monitor contract budgets, identify cost savings opportunities, and ensure services are delivered within financial parameters.


Contract Renewal and Termination:

  • Track contract expiration dates and initiate renewal processes or renegotiations as required.
  • Facilitate contract extensions, amendments, or terminations, ensuring continuity of services and compliance with agreed terms.
  • Evaluate client satisfaction before renewing or adjusting contract terms.


Document Management & Reporting:

  • Maintain comprehensive records of all contracts, amendments, and related documentation.
  • Ensure proper filing, version control, and easy retrieval of contracts.
  • Prepare regular reports on contract status, performance metrics, and potential issues for senior management.


Training & Guidance:

  • Provide contract-related guidance and training to internal teams (operations, legal, finance) to ensure smooth contract implementation.
  • Act as a subject matter expert on contract terms and conditions, advising stakeholders as needed.


Required Qualifications:

  • Bachelor's degree in Electrical/Mechanical, preferably MBA
  • Strong client engagement experience needed.
  • 15+ years of experience in contract management, facilities management, or procurement.
  • Strong understanding of facility management services (e.g., maintenance, cleaning, security, etc.).
  • Knowledge of facility management software and contract management tools.
  • Experience with negotiating and managing contracts in a service-based environment.
