We are seeking a Project Assistant who is ready for a mission! In this pivotal role, you will support operational excellence in a technically oriented business environment. As our Project Assistant, you will ensure seamless coordination and progress within the Product Circle. You will manage team efforts to achieve project goals efficiently and effectively while assisting our Product Lead every step of the way.

About your role

As our Project Assistant, you will enable the successful delivery of multiple projects. Your role will balance project management, team facilitation, and operational support, ensuring our teams thrive in a fast-paced, technically oriented environment. This role offers a unique opportunity to work closely with the Product Lead, gaining hands-on experience and mentorship in strategy and execution. Over time, you'll have the chance to take on greater responsibilities, contribute to higher-level decisions, and play a key role in shaping the direction of our projects and initiatives.


Progress Tracking and Reporting

  • Maintain and update project schedules and timelines to ensure timely delivery.
  • Compile and present progress reports and dashboards for up to 15 simultaneous projects, providing clear visibility into performance. Share these reports with stakeholders.
  • Keep project management tools (Jira, Trello, Confluence) up to date, ensuring projects remain on track and well-documented.


Facilitation and Coordination

  • Schedule and coordinate meetings, ensuring agendas are prepared in advance.
  • Organize and align quarterly updates with the Product Circle, including discussions with Product Owners and coordinating presentations.
  • Facilitate team retrospectives, adapting the format to the team's workflow.
  • Document meeting outcomes, track action items, and follow up to ensure accountability.


Operational Efficiency

  • Help prioritize tasks and manage "to-do" lists for the Product Lead.
  • Identify and address minor operational inefficiencies to help the Product Lead focus on higher-level tasks.
  • Gather and organize feedback from team members and stakeholders to improve workflows.


Optional Strategic Support (If Experienced)

  • Assist the Product Lead in preparing presentations or proposals for internal and external stakeholders.
  • Participate in brainstorming or planning sessions, offering structured input and suggestions.

What are we looking for?


Must-Have's:

  • 1–2 years of experience as a Project Assistant or Junior Project Manager.
  • Exposure to technically oriented business environments with a basic understanding of technical concepts.
  • Proficiency in English (written and spoken) with excellent communication skills.
  • Planning & Coordination: Skilled in creating and maintaining project schedules, tracking progress, and generating reports for stakeholders.
  • Task Management: Ability to prioritize and manage multiple tasks efficiently based on urgency and importance.
  • Task-Oriented Approach: Strong focus on achieving deliverables and meeting deadlines.
  • Hands-On Approach: Proactive and ready to take initiative.
  • Motivation & Eagerness: A drive to learn, grow, and contribute to the team’s success.
  • Communication: Strong written and verbal communication skills for updates, reports, and stakeholder interactions.
  • Empathy & Teamwork: Strong interpersonal skills to foster collaboration across stakeholders.


Nice-to-Have's:

  • Possession of Scrum Master certifications.
  • Familiarity with tools like Jira, Trello, or Confluence.
  • Ability to identify potential risks in projects.
  • Trained in performing teams’ retrospectives.
  • Experience preparing presentations or proposals for internal and external audiences.
