Job Purpose

The jobholder will ensure that the spare parts/materials received are as per the required specifications (quality, quantity, expiry date, warranty conditions etc.), the stock levels are maintained appropriately for all items in accordance with operational needs and items are issued as per the requisitions raised via Coupa and ERP by the workshop team/technicians.


Functional Responsibilities

  • Ensure that the spare parts/materials received are as per the required specifications (quality, quantity, expiry date, warranty conditions etc.), sufficient inventory levels are maintained accurately in accordance with operational needs and items issued as per the requisitions raised by the workshop team/technicians. Ensure all ad-hoc departmental requirements are supplied as per the required specifications as per the set deadlines.
  • Control the petty cash and ensure that proper documentation is maintained justifying every purchase for accounting purpose.
  • Ensure that materials are stored in their proper designated storage areas and any required exposure of these items are complaint to the safety standards and regulations
  • Ensure all requisitions for purchase orders are proceeded according to the approval from the Line Manager to ensure business continuity.
  • Control the issuance of spare parts/materials in a “first in, first out” basis in order to maintain the shelf life of the items.
  • Ensure proper procedures are adhered to when receiving, issuing, uplifting and transferring the materials to comply with the inventory management process.
  • Maintain all documents as per the filing and record keeping system to ensure easy traceability and recovery of documents whenever required.
  • Maintain the special tools register, tool issuance / return records, damaged tools disposal records etc. in an auditable format and raise the tool purchase requests according to the approved budget.


Education Qualification:

Higher secondary School Certificate Qualification or equivalent qualification (must have).


Work Experience:

a) Knowledge on all automobile spare parts and materials(must have)

b) Knowledge on Operations, services and activities of a fleet maintenance and repair program(preferred)

c) On the job experience in handling the spare parts inventory storage(must have)


Skills:

a) Able to understand written and spoken English.

b) Trained in First Aid, Safety/ basic firefighting (preferred).

c) Computer skills with high proficiency in MS office and ERP
