Job Title: Chief of Staff/Project Manager
Type: Full-Time, Remote
Working Hours: Mondays - Fridays, 9:00 AM - 5:00 PM CT
Compensation: $2,000-2,500
The company is a leader in designing and manufacturing automated and sustainable equipment solutions for the beverage, food and pharmaceutical industries. Providing commercial support, technical assistance, preventative maintenance, and post-sales assistance across the group's range of technologies. With a global team of 1,400+ across 10 international offices, we seek a dedicated and strategic Chief of Staff to ensure smooth operations and support our CEO in driving the company's mission forward.
We are looking for a highly strategic and operational Chief of Staff to work closely with the CEO. In this role, you will be instrumental in managing key operational tasks, supporting high-level decision-making, and ensuring seamless execution of business initiatives. The ideal candidate will possess strong organizational skills, experience in executive-level support and a deep understanding of operational and strategic business functions. This role demands a strategic, critical thinker who can work independently and anticipate the needs of a fast-paced industry.
Project Management
- Define project scope, objectives, and deliverables in collaboration with senior management and stakeholders.
- Lead cross-functional teams to deliver strategic projects on time and within budget.
- Manage prioritization, resource allocation, and process improvements for key initiatives.
- Anticipate risks and develop contingency plans to ensure project success.
- Track and report on project performance using KPIs and metrics.
Sales Operations
- Align sales operations with overall business strategy to drive revenue growth.
- Optimize CRM systems for pipeline management and sales forecasting.
- Analyze sales performance data and streamline sales processes for efficiency.
- Collaborate on sales compensation plans and ensure alignment with marketing.
Strategic & Operational Support:
- Assist in managing business development initiatives, partnerships, and key strategic projects.
- Track the progress of key operational and strategic goals, providing regular updates to the CEO.
- Conduct research and analysis to support decision-making processes, including competitor and market analysis.
- Prepare presentations, reports, and documentation for executive meetings and external stakeholders.
Team Coordination:
- Facilitate cross-departmental communication and help coordinate team efforts on special projects.
- Provide administrative support to senior leadership and coordinate executive meetings and events.
- Support HR functions, including onboarding of new hires and assisting with team development initiatives.
Client & Partner Relations:
- Serve as the point of contact for key partners and stakeholders, managing communications and ensuring strong relationships.
- Assist with contract management, vendor negotiations, and other operational logistics.
- Experience: Minimum of 3-5 years as a Chief of Staff or similar, with experience in strategic and operational roles.
- Skills: Strong organizational abilities, with an eye for detail and precision. Excellent written and verbal communication skills.
- Technical Proficiency: Experience with Microsoft Office Suite (especially Excel), CRM and ERP systems, and financial reporting tools.
- Analytical Ability: Ability to conduct research, analyze data, and support executive-level decision-making.
- Adaptability: A self-starter who thrives in a fast-paced, evolving environment, able to handle multiple priorities.
- Industry Knowledge: Familiarity with the manufacturing or tech industry is a plus but not required.
