Job purpose:
To provide comprehensive support to the Project Manager, the incumbent will handle office management, documentation and archiving, information provision, meeting coordination, and report analysis, while also managing client communications, monitoring service delivery, and facilitating operational efficiency within waste management projects.
Key Accountabilities:
- Assist the Project Manager in Operational and administrative duties.
- Assist in maintaining cordial relationship with the Client and ensure client and public satisfaction in terms of the Waste Management services offered by the company.
- Assist the Project Manager in monitoring of service delivery & notify issues.
- Assists in preparing design methods for work activities to increase efficiency and effectiveness in Waste Collection functions.
- Assists the PM in Investigating the delays in execution of operation plan and penalties.
- Monitoring the timely submission of the reports as per client requirements.
- Coordinates with other departments and shares the PM requirements and arranges to get the
- necessary support to and from the other support functions.
- Schedule and arrange for meetings as advised by the Project Manager and Prepare Minutes of
Meetings.
- Manage all the correspondences to and from the client and archiving.
- Create and maintain the documentations and filing / archiving of all necessary documents.
- Prepare letters, emails and memos as directed by Project Manager.
- Collects and submits documents to Project Manager that require his/her approval and provides
- supportive information.
- Preparing daily/weekly/monthly reports related to the Project as required by the Project Manager.
- Preparing the Project related reports for submitting to Tadweer – AD, as advised by the Project
Manager.
- Arrangement of required documents and submission of monthly invoice to the client/s.
- Flexibility to work in client (Tadweer-AD) office / site and under the supervision of client project
- managers / representatives.
- Adapt and cope up with new / additional client requirements related to Project Management.
- Performs ad hoc tasks and duties as assigned by the Project Manager, ensuring timely and effective support.
QHSE Responsibilities:
- Ensure compliance with all QHSE policies, procedures, legal requirements, and applicable quality, health, safety, and environmental regulations.
- Foster a safe and healthy working environment by adhering to company policies and industry standards.
- Participate in QHSE audits, risk assessments, and required training programs.
- Contribute to continuous improvement efforts to enhance quality and safety standards.
- Support environmental and safety initiatives aimed at minimizing risks and promoting sustainability.
- Regularly review and update processes to align with continuous improvement objectives.
- Actively engage in health, safety, and environmental training to ensure compliance and raise awareness across the organization.
Experience & Qualifications:
- Bachelor's degree in Engineering.
- 2-4 years of relevant work experience, preferably within the environmental or waster management industry.
- Bilingual proficiency in English and Arabic (written and spoken).
Knowledge & Skills:
- Proficient in administration, office management, and project management.
- Excellent verbal and written communication skills in both English and Arabic.
- Strong business correspondence and proposal writing skills.
- Skilled in letter drafting, presentation, and report writing.
- Effective negotiation skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint).
- Familiarity with office management software and applications.
