The opportunity

We have an exciting opportunity for a Talent Acquisition Assistant to join our team, focusing on experienced hire recruitment across our London office. Working as part of the Talent Acquisition team, you will provide support to the Talent Acquisition team in recruiting Practice and Business Services colleagues into our firm.

The team

In London, the team comprises of HR professionals across all areas from graduate and lateral recruitment, learning & development to teams specialising in generalist HR, our HR system, partner HR, corporate social responsibility and diversity and inclusion; all working alongside our international colleagues in supporting our 32 offices. From your first to your last day at the firm, we will act as your supportive advisors to ensure that you can perform to the best of your ability in your role. What you'll do

In this role, you will support the Talent Acquisition team in ensuring a smooth recruitment process.


The main objectives of the role:

Interviewing Scheduling:

  • Scheduling interviews (either in person or remotely using Microsoft Teams) for hiring managers/ partners and Talent Acquisition.
  • Administering assessments when required and distributing completed assessments to the Talent Acquisition Officer or hiring manager/partner for review.
  • Liaising with recruitment agencies on active vacancies, interview arrangements and agency briefings.

Candidate Attraction:

  • Uploading roles onto our ATS and posting adverts on our careers pages, internal communications, LinkedIn, and other relevant job boards, proactively managing these adverts to ensure they are up to date and the positions are still live vacancies.
  • Researching and recommending relevant job boards to encourage applicants from diverse backgrounds, including agreeing terms and setting up accounts.

Candidate Management:

  • Responding to enquiries from direct candidates and ensuring that they have an excellent candidate experience. Managing the Talent Acquisition inbox and responding to or forwarding queries as appropriate.
  • Assisting on talent pooling projects using LinkedIn Recruiter and sourcing direct candidates through a range of channels.
  • Utilising the ATS to log applications and manage vacancies, ensuring notes are updated where applicable.

Diversity & Inclusion:

  • Working with our Talent Acquisition team to ensure that our recruitment processes are inclusive and accessible for all candidates.

Administrative and Project Support:

  • Assisting the Talent Acquisition team with producing and distributing terms of business agreed between Bird & Bird and our suppliers and keeping record of these.
  • Processing invoices for new permanent and contract employees and recording these.
  • Working on the document management system (Filesite) to set up and maintain files in an efficient manner, ensuring they are appropriately named, categorised and up to date.
  • Supporting the Talent Acquisition team with any ad-hoc work or projects as necessary, including taking ownership of individual projects and tasks


About you

To be successful in this role, you will have:

  • Previous administration experience in a professional environment and/ or experience of working in a recruitment role is desirable.
  • A genuine interest in Recruitment/Talent Acquisition in the legal industry
  • Strong attention to detail, excellent organisation skills, the ability to work under pressure and manage conflicting priorities.
  • Ability to liaise effectively with external suppliers (particularly recruitment agencies and head-hunters) and internal clients (hiring managers).
  • Strong relationship-building skills and a team player attitude.
  • Ability to handle confidential/ sensitive information appropriately.
  • The ability to use social media platforms (e.g., LinkedIn, Twitter, Instagram) to broadcast or amplify messages and to connect with external contacts/networks.


The main responsibilities of this role are outlined above; however, this description is not exhaustive, and the job holder may be required to undertake additional duties from time to time to ensure the smooth running of the department. The role may require some working outside our normal working hours of 9:30am- 5:30pm
