What awaits you

As a Global Assignments and HR Administrative Specialist, you will play a pivotal role in managing the global expatriate assignment lifecycle, ensuring seamless coordination and execution of all expatriate activities as well as manage all employment related documentation of the organization. From initiating international assignments to providing integration support during the assignment and ensuring smooth repatriation, you will be responsible for delivering a world-class experience to expatriates and meeting organizational objectives.

This role requires deep expertise in international and Romanian employment laws, global tax regulations, and HR best practices.

Your Key Responsibilities Will Include

  • Managing the entire expatriate assignment lifecycle, from initiation to reintegration, ensuring smooth transitions at every stage
  • Overseeing pre-departure preparations, such as securing necessary documents, organizing relocation logistics, arranging housing, coordinating schooling, and handling tax-related documentation
  • Collaborating with dedicated teams to ensure alignment on compensation, benefits, and tax compliance across jurisdictions, in line with local regulations and corporate policies
  • Providing ongoing support to expatriates during their assignments, addressing concerns related to housing, family, schooling, cultural adjustments, and other challenges
  • Developing and implementing global assignment policies, standards, and best practices to mitigate legal and financial risks
  • Partnering with external service providers, including relocation agencies, tax advisors, and immigration consultants, to deliver cost-effective and comprehensive assignment solutions
  • Managing the end-of-assignment process, ensuring smooth repatriation logistics and successful reintegration into home country operations
  • Collaborating with the other support teams to ensure compliance with legal and tax regulations while maintaining alignment with company policies
  • Overseeing partnerships with relocation, payroll and taxation providers, ensuring alignment on general issues and facilitating effective solutions
  • Manage the employment process by drafting employment agreements, addendums, termination documents, as well as drafting certificates of employment, as needed
  • Coordinate the medical check-up process for both new joiners and current employees, ensuring a timely and efficient scheduling
  • Manage employee time attendance application and coordinate the overall process
  • Assist in evaluation of reports, decisions and results of department in relation to established goals Recommend new approaches, policies and procedures to effect continual improvements in the efficiency of the department and services performed
  • Administer various human resource plans and procedures for all company personnel; assist in the development and implementation of personnel policies and procedures
  • Offering support for recruitment activities (sourcing, developing pipeline, scheduling candidates) for assigned positions.

What should you bring along

  • Bachelor’s degree in Human Resources, International Business, Law, or related field. A Master's degree or professional certification is a plus
  • Experience in contributing to projects focused on redesigning and digitalizing global mobility processes
  • Experience in facilitating seamless transfer implementations while providing guidance and support to the expatriate population throughout the transfer process
  • Experience with participating in Global Assignments projects focused on continuous improvement in service delivery
  • Proven knowledge and experience with preparing documentation for work permit applications and collaborating with immigration providers to secure the necessary permits for traveling staff
  • Experience working in a multinational or cross-cultural environment, managing expatriate assignments across diverse regions
  • Demonstrated expertise in handling complex assignments, managing vendor partnerships, and navigating global HR policies
  • Good organizational and problem-solving abilities
  • Strong communication and interpersonal skills, with the capacity to collaborate effectively with stakeholders at all levels
  • Excellent English verbal and written skills
  • German communication skills will be a plus
