Job Purpose

To ensure the effective governance of ICT procurement, licenses, and contracts by maintaining accurate records, coordinating procurement and tendering processes, and supporting internal compliance and quality assurance activities. This role will collaborate with various internal departments to facilitate seamless ICT operations aligned with organizational standards and budgets.

Key Responsibilities

  • Maintain and update the ICT licenses and contracts repository, ensuring timely reviews and updates.
  • Coordinate renewals, amendments, and initiation of ICT contracts/licenses for new and existing projects.
  • Facilitate IT procurement and tender processes in coordination with ICT staff, Procurement & Contracts (P&C), and Finance departments.
  • Monitor PR (Purchase Requisition) approvals and ensure end-to-end tracking from initiation to submission.
  • Ensure all procurement documents meet internal compliance and approval standards.
  • Oversee the confirmation and receipt of delivered goods and services against ICT project requirements.
  • Collaborate with the Quality Assurance/QHSSE department for managing document review cycles, publication, and control.
  • Prepare and submit periodic reports on contract/licensing status, procurement progress, and key project deliverables.
  • Ensure alignment with departmental policies, procedures, legal, and quality standards.
  • Support the ICT department in ensuring all contracts-related milestones are achieved within the ICT budget framework.
  • Maintain confidentiality and integrity in handling organizational data and documents.
  • Perform other duties and responsibilities as assigned by the reporting manager.

Minimum Qualifications

  • Bachelor’s degree in Computer Engineering, Computer Science, or a relevant field related to IT logistics or contracts.

Experience

  • Minimum 8–10 years of relevant experience in IT Procurement, Contracts Management, and Quality Assurance in a similar organizational environment.

Skills And Competencies

  • Solid understanding of IT Service Management principles and best practices (ITIL preferred).
  • Proficient in ICT budgeting and cost control practices.
  • Strong project coordination and documentation skills.
  • Hands-on experience with Microsoft Office applications (Excel, Word, Project), ERP systems, and email platforms.
  • Knowledge of current and emerging ICT technologies.
  • Analytical thinking and detail-oriented approach.
  • Effective communication, presentation, and interpersonal skills.
  • Highly organized with the ability to manage multiple tasks simultaneously.
