Roles, Activities and Tasks

  • Budget
  • Plan, monitor, and control the budget.
  • Estimate project budgets.
  • Track and record project payments.
  • Ensure quality assurance of release orders, excluding deliverable acceptance, prior to the Department Director’s approval.
  • Liaise with the Finance & Administration Department on payment-related issues.
  • Identify and report risks associated with budget utilization within projects and the department to management.
  • Support and advise department staff on budget-related activities and issues.
  • Design and implement processes and tools to improve payment processing within the department and the sector.
  • Procurement
  • Support and advise department staff on procurement-related processes and activities.
  • Review Requests for Proposals (RFPs).
  • Evaluate technical and commercial proposals
  • Liaise with the Finance & Administration Department on procurement-related issues.
  • Identify, and report risks associated with procurement timelines in projects to management.
  • Project Monitoring and Controlling
  • Design, create, and implement tools for capturing project progress.
  • Support and advise department staff on project monitoring and control.
  • Monitor key performance indicators (KPIs) and report associated risks to management.
  • Report risks associated with contracts and escalate the issues with the top management.
  • Data and Information Management
  • Design, create, and maintain information libraries with the required access controls within the department.
  • Provide all necessary information (excluding sensitive information) to outsourced consultants to ensure smooth and uninterrupted operations within the department.
  • Set data access controls for sensitive financial and non-financial data to mitigate procurement-related risks and potential conflicts of interest with outsourced consultants.
  • Maintain access controls for data elements to prevent unintended access by department members, mitigating data-related risks.
  • Advise staff members on data-related risks to ensure compliance.
  • Human Resource Management
  • Mentor and motivate department staff members as needed.
  • Support and advise team members in setting performance objectives.
  • Intervene, when necessary, in conflict resolution, team building, and the improvement of work relationships among department members for smooth operation of the department.
  • Language:

Must be proficient in Both Arabic and English.
