Senior Business Project/Program Manager

We are seeking a dynamic leader to own the implementation and replacement of a new electronic Document Management System (eDMS). The successful candidate will have overall responsibility for the project timeline, Gantt chart, critical path, budget, and milestones. This role requires a strong understanding of Veeva Systems' software solutions, including eDMS and eQMS, and the ability to apply Veeva best practices and methodologies to project implementations.

Responsibilities

• Dynamic leader to own the implementation/replacement of a new eDMS system, with overall responsibility for the timeline/Gantt chart, critical path, budget, and milestones
• Lead and motivate the project team, fostering a collaborative and high-performing environment.
• Coordinate and manage the work of cross-functional teams, including technical consultants and business analysts.
• Ensure effective communication and collaboration among team members.
• Develop detailed project plans, define deliverables, schedules, and resource plans.
• Track and report progress and project metrics.
• Develop and maintain project documentation, including project plans, status reports, and meeting minutes.
• Control spending and report on financial performance.
• Prepare, lead, document, report, and follow-up on project meetings, workshops, and SteerCo.
• Ensure compliance with regulatory requirements and industry standards.
• Identify and assess project risks and issues, developing and implementing mitigation strategies.
• Manage project changes, ensuring proper documentation and communication.
• Ensure key stakeholders are engaged and informed, providing regular project status updates.

Requirements

• 5-7 years of software project implementation experience.
• Proven successful multi-year/multi-project experience with complex eDMS/eQMS or Q processes related software implementation in a GMP regulated environment.
• Strong understanding of Veeva Systems' software solutions.
• Proven track record of successful project delivery, meeting project objectives, scope, timelines, resources, and budget.
• Good knowledge of JIRA and Confluence is appreciated.
• Strong leadership skills to drive harmonization and alignment, manage challenges and crisis, manage upwards and downwards, manage different stakeholders.
• Negotiation skills: resolving conflicts, securing resources, and aligning stakeholders.
• Strong organizational skills, ability to balance multiple priorities and work under pressure.
• Ability to define scope, create project plans, set milestones, and manage deadlines.
• Fluent in English; proficiency in German is a plus.
