HR Associate will assist other members of the HR team in tasks such as coordinating the talent management processes, current employee processing and management, responding to queries or escalated issues, and providing support to the Senior HR Associate, HR Manager as well as to the PSC Management Team.

Accomplishes human resource objectives by obtaining, recording, forwarding and explaining human resource information.


HR Associate (objectives, not limited to):

  • Provides information by answering communications, referring special communications to appropriate person
  • Onboards new joiners to the Company
  • Maintains human resources records
  • Verifies candidates background by contacting references
  • Issues and processes applicable forms and applications; verifies up to completion.
  • Explains benefits to the employees, manages and responds to benefit queries
  • Complies with Employment Law and prevents litigation
  • Maintains Manager and Employee confidence by keeping human resources information confidential
  • Updates job knowledge by participating in educational opportunities; reading Employment Law news and updates.
  • Supports administration and operations of the Senior HR Associate, HR Manager, PSC Management, Clients and stakeholders.



Your duties and responsibilities for the position of a HR Associate role include, but are not limited to:

  • Preparing offer letters, contracts, onboarding new employees, administering employee benefit programs
  • Onboarding employees in a timely manner; scheduling medical appointments (if applicable), distributing onboarding documents, managing sign-offs;
  • Completing eligibility to work checks, ensuring that the candidates are eligible to work full-time in the applicable country and that they have correct and applicable VISA’s in date and on HR records.
  • Organising regular PSC check-ins with existing employees; Background checks and screening for global mobility visa programme; document gathering and verification.
  • Notifying existing staff of internal opportunities; maintaining personnel records.
  • Advising existing employees of Annual Leave balance, maintaining employee records
  • Assisting with information gathering
  • Maintaining GDPR compliance and knowledge of same required
  • Administers medical insurance, by advising employees of eligibility; providing application information; helping with form completion; verifying submission; notifying employees of approvals
  • Collating employee timesheets for accounts department
  • Maintaining human resources records by recording new hires, transfers, terminations, changes in job classifications, merit increases, tracking Annual Leave, Sick Leave and any type of absence.
  • Onboarding new employees by providing orientation information packs; reviewing company policies; company handbook; gathering; other payroll information; explaining and obtaining signatures for benefit programs
  • Documents human resources actions by completing forms, forms, reports, logs and records. Updates job knowledge by participating in educational opportunities; reading professional publications.
  • Obtaining, filing, uploading and updating trackers regarding Employee ID, IRP and VISA documents; ensuring that the IRP and VISA’s of existing employees are always valid and up to date.
  • Review timesheets every Monday for the previous fully completed week
  • Address any timesheets errors and anomalies in a timely manner
  • Frequently review AgileOne/FieldGlass and/or any other Client systems as applicable
  • Review and process expenses from Zoho Expense as well as any applicable expenses from AgileOne, FieldGlass and any other applicable systems
  • Respond to Client queries on the same day or by the next working day (depending on the type of the query)
  • Light Client queries (eg. re new job req, submission) to be responded to within the same day
  • Accomplishing human resources department and organisation mission by completing related results as needed
  • Support Senior HR in administration, note taking and other ad-hoc duties as required by the role
  • Ad hoc assistance to a variety of projects may be required
  • Additional duties as deemed appropriate by the department head/designee
  • Any additional ad-hoc duties as requested by Management to fulfil business requirements



Key duties (not limited to):

  • Manage HR mailbox and enquiries in a timely manner
  • Ensure all e-mails are responded to with an adequate level of priority
  • Coordinate and manage onboarding from start to finish
  • New starters query management
  • Reference checks, background checks
  • Preparation of general letters, salary certificates
  • Coordinating PSC laptop and equipment couriering to and from the candidates/employees
  • PSC equipment inventory management
  • Gathering Onboarding documents, PSC Induction sign offs, Personnel and Payroll details forms
  • Folder creation and updates
  • Tracker updates in a timely manner
  • Annual Leave review and processing
  • Sick Leave review and processing
  • Note taking to support Senior HR as a witness during more complex Employee calls
  • Contract and addendum preparation
  • Support HR Manager and PSC Management in related activities
