We are currently on the lookout for an HR People Admin for our Estonia hub. You will be supporting the People Team to deliver an amazing service to our people, acting as a contact for day-to-day HR queries. You will be responsible for supporting the delivery of an outstanding HR service, working closely with the centres of excellence and continually looking to improve processes and the quality of support provided.

Qualifications
What we'll be looking for 🔎
We are looking for a passionate people person with an approachable personality.
Ideally with at least 1 year of administrative experience.
Someone who is super detail oriented and well organized
Skillful in MS office - Word, Excel, Outlook
Must be fluent in Estonian and English.

You will be responsible for supporting the delivery of an outstanding HR service, working closely with the centres of excellence and continually looking to improve processes and the quality of support provided.
Responsibilities
What you’ll do: 🤓
General HR tasks to include:
- Responsible for providing advice for general employee queries such as policy, annual leave etc, with support from the People Partner when required.
- Responsible for the processing of all invoices.
- Reference letters for past employees and employment letters for tenancy agreements etc.
- Involvement in internal/external audits for starters/leavers/movers.
- Update Payroll with new starter, employee change, and leaver details. Overview of Payroll Hub.
- Responsible for the administration of employee changes, probation and leaver documentation.
- Administration tasks for maternity leave, including issuing of letters, updated leave and updating payroll.
- Responsible for maintaining and updating employee records, ensuring accuracy and confidentiality.
- Recording training requests, including liaising with global finance teams to process payment for training, raising POs, setting up as Suppliers.
- Responsible for assisting relocation of new employees via local agencies for Estonia relocations.
- Onboarding process for new employees across all ROW (Rest of World) jurisdictions, including overseeing all pre-employment and right to work checks, and coordinating onboarding materials and documentation.
- Responsible for welcoming new starters on their first day and
- Sending new starter and employee updates to the communications team.
- Liaise with managers to assess new starter equipment and access requirements and raise new starter tickets.
- Ensure maintenance of accurate electronic information and records and ensure the HR system is maintained, and accurate information recorded and updated.
- Checking Estonia residence permits are up to date.
- Review and oversee the “2-week block leave” requirement for the Estonia office.
- Coordinating the outside interest’s process.
- Creating access to our training platform.
- Creating process documents..
- Act as point of contact for employee inquiries and provide support on HR related issues.
- Ad-hoc admin tasks/project.
