Responsible for Administration in the HR department focus on Telefonica Project from cradle to grave of the employee life cycle, from processing new starter documents, amending contracts of employment, issuing offer letters, producing starter packs, following up employment references, right to work documents, and updating systems. Guide services manager about HR policies and legal requirements. Reporting to HR Manager.
The role focuses on client support and processing activity; the majority of time will be spent providing information, managing data, processes and delivery.
This role is based at our Madrid office with the opportunity to work from home 1 or 2 days a week.

Induction & Integration
Enter new starter information onto the relevant systems
Create personal files for all new starters and ensure that all documentation is present and completed
Send out probation reminder emails to line managers and escalate any issues to HRO when appropriate
Manage the benefits system, including adding new starters and removing leavers
Payroll Administration
Collate and input all relevant information relating to payroll on a monthly basis (i.e. new starters, leavers, tax forms, benefits, contract changes, sickness absence and maternity/paternity pay)
Hand out pay-slips each month
Maintain and update HRIS and employee directory with any employee changes
Employee Administration
New starter offer letters and contracts with instruction from HRM
Employee letters in relation to any salary, bonus or benefit adjustment and update all relevant systems as per instruction from HRM
Letters to employees leaving the business and calculate any outstanding holiday and benefits
Draft ad hoc employee letters with direction from HRM/HRRD
Management of occupational risk prevention
Coordination and preparation of the entire process of warnings and dismissals with Local HR Director.
Review and approve Performance Review
Ensure that all project employees have completed mandatory training, as compliance training and occupational risk prevention' certificate.
Coordination with facilities and IT for equipment deliveries and collections (leavers and new hires)
Meeting with management to guide them about HR policies and legal requirements
Administrative/Self Development
Maintain employee and general files
Ensure appropriate security for all HR-related information
Ensure the intranet is updated following direction from HRM/HRO
Management of occupational risk prevention
Update platform of benefits - Edenred is a local platform in Spain and manage the orders
ABOUT YOU
Bachelor's Degree in Human Resources or Labour Relationship
* Minimum 3 years of experience as HR Administrator / HR Operations
* Fluency in Spanish and English
