Human Resources Operation Coordinator

Overview:

Reporting to the Human Resources Business Partner, the HR Operation Coordinator will support the organisation by providing high level of HR related matter support. Responsible for HR documentation compliance. Working closely with key stakeholders (including but not limited to Store Admins, Assistant Store Managers, Store Managers, and others) to advise on situations in accordance with applicable awards, contracts, company policies and procedures. This role will be crucial in proactively driving process improvements within UNIQLO Australia.


Key Responsibilities:

  • Provide advice to stakeholders on company policies and procedures, contracts and HRIS system.
  • Provide first level support to all retail employees.
  • Offering effective HR solutions and recommendations based on company policies, procedures and work practices.
  • Contributing to the creation and implementation of local & global HR projects, company policies and procedures
  • Assisting the Talent Acquisition team in conducting seasonal bulk and ad hoc recruitment when required
  • Preparing employment contracts and completing all required administration tasks for new hires, including follow-up on the relevant paperwork for completion
  • Maintaining accurate data across all HRIS systems (Workday, vSure, Utrain, other applicable systems) in line with employment changes.
  • Play a crucial role in maintaining accurate employee records, ensuring compliance with HR policies, and promoting effective communication within the organisation.
  • Maintain working rights check system in the Company (processing vSure, participating in all related projects in this sphere).
  • Prepare reports and presentations on HR-related metrics.
  • Preparing and providing analysis on regular and ad hoc reports for the HR Team, as well as wider business meeting expected timeframes of the Company
  • Maintain personnel records, updated databases, and create guidelines and FAQ documents about company policies.
  • Efficiently processing employee data and keeping company policies up to date
  • Please note that this is a 6 month fixed term contract role. There might be a possibility to consider extending contract to permanent role depending on the performance and business needs.


Qualifications, Key Skills and Behaviours

  • Tertiary qualifications in Human Resources or demonstrated equivalent work experience.
  • Experience in working with key stakeholders to provide advice and discuss sensitive issues.
  • Ability to multi-task and prioritise duties in a fast paced, high-pressure environment.
  • Excellent interpersonal and communications skills with the ability to build and maintain strong relationships all levels of the business.
  • Impeccable organisational skills, with the ability to prioritise own workload and deliver to tight deadlines.
  • Cultural sensitivity and understanding

  • Excellence documentation skill
  • An intermediate excel skill with an extensive knowledge of data analysis skill
