Job Title: Project Coordinator

Contract Type: 12-Month Contract

Location: Onsite in Sligo, Ireland

Working Arrangement: 100% Onsite

Overview:

This position provides administrative and coordination support to the BT2 Project within the Biologics side of the business. The successful candidate will work closely with Subject Matter Experts (SMEs) to facilitate project execution, monitor timelines, manage documentation, and coordinate meetings. This role may also suit a junior Project Manager if the rate aligns with the set budget.

Key Responsibilities:

• Provide administrative and coordination support to the BT2 project team.
• Facilitate meetings, track follow-ups, and monitor timelines in collaboration with SMEs.
• Prepare and distribute meeting minutes; set up task lists and manage critical path identification.
• Support cross-functional teams in delivering new medical device products.
• Estimate project levels of effort and resource requirements using standard estimating techniques and tools.
• Create and maintain project plans, schedules, and budgets using tools like Microsoft Project.
• Direct project execution by assigning tasks, tracking schedules, identifying risks, and implementing contingency plans.
• Ensure project quality using standard development methodologies in partnership with SQA teams.
• Communicate project status via standard status reports and stakeholder meetings.
• Resolve project issues by liaising with team members, internal and external customers.
• Share project management expertise and support internal groups with best practices.
• Raise and manage Change Plans: drive impact assessments, present to cross-functional teams, and seek approval through Change Review Board.
• Prepare, edit, assemble, and manage documentation such as reports, records, or technical files.
• Maintain numerical, alphabetical, and subject-based filing systems and documentation logs.

Candidate Requirements:

• Education:
• Bachelor’s degree with 5–7 years of relevant work experience, or
• Master’s degree with 3–5 years of relevant work experience, or
• Equivalent combination of education and experience.
• Technical & Functional Expertise:
• Good understanding of project coordination in a biologics or medical device manufacturing environment.
• Working knowledge of project management tools, including Microsoft Project.
• Strong organizational and communication skills.
• General understanding of cross-functional business operations.
• Work Environment:
• This role operates within a regulated quality system environment.
• Non-compliance may result in failure to meet government regulations.

• Ability to analyze moderately complex issues.
• Exercises sound judgment within defined procedures and policies.
• Broad understanding of technical options and their impact on systems and workflows.
