EXECUTIVE ASSISTANT TO CEO

A prominent and fast-paced real estate firm is seeking a highly organized, polished, and proactive Executive Assistant to support its Founder & CEO. This is a high-exposure role for someone who thrives in dynamic environments and has a strong grasp of luxury real estate, discretion, and operational excellence.

KEY RESPONSIBILITIES:

  • Schedule Management: Take full ownership of a complex, ever-changing calendar - coordinating business, brand, real estate, and personal obligations seamlessly.
  • Deal Support: Monitor real estate pipeline activity, interface with agents and developers, and assist with documents, timelines, and transaction coordination.
  • Relationship Coordination: Act as a primary point of contact for clients, collaborators, internal staff, and media partners, maintaining a high level of polish and professionalism at all times.
  • Travel Oversight: Organize comprehensive travel logistics — from flights and lodging to car service and dining — often including international and private travel arrangements.
  • Project Execution: Manage executive-led initiatives across business and brand priorities, ensuring timely follow-through, coordination, and clear communication.
  • Administrative Operations: Support ongoing operational needs such as processing expenses, coordinating with vendors, managing personal tasks, and executing other logistical duties.
  • Professional Representation: Represent the CEO’s voice and brand in all external and internal communications with integrity and grace.


IDEAL QUALIFICATIONS:

  • Experience: 3+ years in a senior-level support role working for a founder or C-Suite executive - ideally within real estate industry
  • Systems Fluency: Highly proficient in Google Workspace, Microsoft Office (Outlook), and advanced scheduling/travel software.
  • Professional Demeanor: Warm, poised, reliable, and self-motivated — someone who thrives in high-performance environments and communicates with executive-level polish.
  • Forward Thinking: Anticipates needs, solves problems proactively, and is comfortable operating in ambiguity or shifting priorities.
  • Exceptionally Detail-Oriented: Keeps everything running on schedule with precision and structure.
  • Emotionally Intelligent: Manages relationships and challenging dynamics with discretion, empathy, and sound judgment.
  • Flexible Under Pressure: Thrives in a fast-moving environment and adapts with calm confidence.
