DUTIES AND RESPONSIBILITIES


Junior event project managers plan and execute events, leading teams from the initial conception of the event to its successful completion. This role requires excellent event-planning skills along with the ability to define project milestones and deadlines and coordinate both teams and external contractors to ensure a successful and enjoyable event that meets organizational goals and expectations.

Junior events project managers need to balance creativity with logistics, financial planning, and vendor management duties. They should excel at multitasking and balancing big-picture concerns like venue and contractor selection with details like décor and meal planning, effectively utilizing resources and personnel to stage large- and small-scale events.

  • Project management at a skilled level, with an ability to work collaboratively under the guidance of line managers and independently when required.
  • Work with the creative team to develop proposals and detailed concepts for client projects that are in line with the client’s objectives and are deliverable and in-budget.
  • Responsible for managing the delivery of all aspects of a production.
  • Develop, communicate, and maintain timelines, milestones, budget overviews and deliverables for pre-production through to event documentation.
  • Liaise with internal teams to ensure that all roles and responsibilities are clearly defined; and that all aspects of each event are appropriately managed.
  • Budget management - oversee financial elements of event planning and execution
  • Identify, book & manage all third-party suppliers from contracts to briefings through to the final event stages. This includes production suppliers and creative suppliers.
  • Meet and develop relationships with existing and potential external collaborators & suppliers.
  • Produce and manage detailed production documentation e.g. call sheets, briefs, timelines, budget overviews, production books, post production summaries etc.
  • Coordinate a team throughout the event management process.
  • Align with team members throughout the journey of a project, to receive input and feedback and ensure updates are presented with one voice to the client.
  • Handle client queries, troubleshooting and solution-focused issue management to ensure all runs smoothly.


SKILLS AND QUALIFICATIONS


  • 2/3 years of related experience in project management including productions, ideally within a luxury fashion/lifestyle environment.
  • International experience would be a plus.
  • Prerequisites include strong project management and organisational skills and a solution-focused approach.
  • Ability to take ownership of projects.
  • Budget and financial management skills are vital
  • A responsive and understanding approach to client management.
  • Ability to work to tight deadlines. Excellent prioritising and time management.
  • Discreet, professional and articulate, with excellent communication skills.
  • Extremely well-organised, methodical and efficient, with good common sense and initiative.
  • Strong presentation & writing skills.
  • Excellent knowledge of MS Office (Powerpoint and Excel)
  • Full professional proficiency in French and English (both written and verbal).
