Please note that this is a temporary position (6 months):

We are looking for a detail-oriented and proactive HR Administrative to support various human resources processes, particularly in payroll, social security, and employment documentation. The ideal candidate will be fluent in both English and French and have knowledge of Swiss labor law and payroll processes.

Key Responsibilities:

  • Support payroll processes:
  • Collect and verify monthly payroll variables.
  • Liaise with external payroll providers.
  • Handle post-payroll activities (e.g., social security declarations).
  • Manage monthly reporting and updates for the pension fund.
  • Ensure accurate reporting to Swiss social security authorities and manage tax declarations.
  • Back- up HR administration
  • Prepare and issue work certificates and confirmations
  • HR procedure documentation (internal process sheets, checklists, templates)
  • Coordination with branches (Bahamas, DIFC) on operational HR needs
  • Support to CHRO / HRBP (reporting, HR meetings, translations, admin help)
  • Onboarding and offboarding processes
  • HR Reporting & Data
  • Org Chart update
  • Assist with labor relations processes by compiling and preparing employment documentation: Drafting & validation of official HR letters (termination, sanctions, contracts, certificates)
  • Oversight of local HR operations (review of cases, escalations, local support) – OneHR Support

Requirements:

  • Proven experience in HR administration, ideally in a Swiss-based organization.
  • Strong knowledge of Swiss payroll, social security, and labor regulations.
  • Bilingual in English and French (spoken and written). Spanish is a strong plus
  • High level of accuracy and discretion with sensitive information.
  • Proficient in Microsoft Office and HRIS tools

Preferred Qualifications:

  • Previous experience with pension fund administration and third-party payroll providers.
  • Familiarity with Swiss tax systems and employment contract management.
