Job Summary
The People Operations Specialist provides comprehensive HR support to employees and managers within a designated region, country, or function. This role is responsible for delivering a positive employee experience by effectively managing HR processes throughout the employee lifecycle-from onboarding to offboarding, excluding recruitment activities. By ensuring accurate and timely HR administration, the Specialist helps build a strong foundation for both internal and external stakeholders. This role also serves as a first point of contact for employee queries, contributing to a supportive and efficient HR environment.
Key Responsibilities
- Administer a wide range of HR policies and processes, including document management and compliance with local employment laws.
- Manage employee lifecycle processes such as contract and offer generation, absence tracking and reporting, and employee data updates.
- Maintain and update the global HR system and related tools, ensuring data accuracy and integrity.
- Document and resolve internal HR queries in line with standard operating procedures.
- Maintain employee records and ensure proper documentation for personnel changes, including work permits and contract updates.
- Prepare and coordinate payroll change reports and audits within established timelines.
- Provide clear explanations of HR policies, procedures, and regulations to employees and managers.
- Respond to internal and external inquiries, resolving issues or escalating as appropriate.
- Offer feedback on HR systems and employee handbooks to improve processes and communication.
- Maintain internal HR communication channels such as bulletin boards and online libraries.
- Organize and support regional or country-specific HR events (e.g., wellness fairs, HR Q&A sessions).
- Troubleshoot employee issues by collaborating with internal stakeholders and utilizing HR systems.
- Support onboarding of new People Operations team members and stakeholders.
- Liaise with internal departments (e.g., Payroll, Advisory, Recruitment) and external vendors.
- Conduct regular audits to ensure data quality and compliance with legal requirements.
- Support HR initiatives and projects, including implementation and communication efforts.
- Ensure timely processing of new hires and employee changes in accordance with service level agreements (SLAs).
- Respond to employee tickets within SLA timelines and contribute to employee satisfaction goals.
- Complete all mandatory compliance training on time.
- Identify and resolve issues not covered by existing procedures, updating processes as needed.
Education & Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- Specialized diploma in HR or related discipline is a plus.
Skills & Experience
- Minimum of 2 years of experience in a similar HR operations or customer-facing role; HR experience preferred.
- Proficiency in HR systems, preferably Workday; experience with SAP, MS Office, and Google Suite.
- Strong written and verbal communication skills in English.
- Basic understanding of local labor laws is an advantage.
- High attention to detail and accuracy.
- Strong customer service orientation.
- Ability to manage multiple tasks and prioritize effectively.
- Analytical mindset with a focus on continuous improvement.
- Resilience and problem-solving skills in a fast-paced environment.
