We’re seeking a proactive and detail-oriented People Operations & Systems Coordinator to support our People and Culture team in delivering exceptional employee experiences, optimising our systems, and ensuring our processes are both compliant and future-focused.
About the Role
As the People Operations & Systems Coordinator, you'll be instrumental in keeping our People and Culture systems running smoothly while helping to create a great experience for every employee. You’ll manage the day-to-day administration of our People and Culture platforms, ensure data accuracy and compliance, and help improve systems, workflows, and employee-facing processes across the full employee lifecycle.

Key Responsibilities
People and Culture Systems & Data Integrity
- Maintain and manage the People and Culture Information System (e.g., Employment Hero), ensuring accurate, up-to-date employee records.
- Act as the system super user – training staff and managers, troubleshooting issues, and liaising with vendors to implement updates or resolve technical challenges.
- Maintain employee lifecycle workflows including job changes, promotions, offboarding, and leave.
- Prepare and deliver accurate People and Culture reports, dashboards, and workforce data insights for leadership decision-making.
Documentation, Compliance & Records Management
- Oversee the ongoing development, version control, and storage of People and Culture documentation including policies, procedures, and employment contracts.
- Ensure employee files and personal data are maintained in compliance with legislation and best practice.
- Assist in updating position descriptions and managing the organisational structure and job classification records.
Recruitment & Onboarding Support
- Coordinate recruitment administration including job posting, candidate tracking, reference checks, and employment screening.
- Manage uniform ordering and inventory for new starters and operational teams.
- Maintain recruitment systems and provide a consistent and professional experience for candidates and hiring managers alike.
Employee Experience & Benefits
- Support onboarding and offboarding processes by ensuring timely system updates and communications.
- Assist in benefits administration, including enrolments, updates, and compliance.
- Take the lead in designing and maintaining an employee benefits and recognition program that promotes wellbeing, engagement and retention.
Payroll & General Support
- Act as backup support for payroll processing – assisting with data entry, reporting and responding to employee queries.
- Provide admin support to the Associate Director – People and Culture, including document preparation, meeting coordination and project assistance.
- Contribute to internal communications and social media messaging, helping promote our culture and employer brand.
Process Improvement & Team Collaboration
- Identify opportunities to streamline and improve People and Culture processes through automation and systems enhancement.
- Provide training and ongoing support to People and Culture team members and other staff on using systems effectively.
- Assist with compliance audits and reporting by providing timely and accurate data.
What You’ll Bring
- Tertiary qualifications in Human Resources or related discipline, or currently studying (desirable)
- Experience with People and Culture systems or HRIS (e.g., Employment Hero, BambooHR, or similar)
- Strong attention to detail, time management and organisational skills
- Analytical mindset and comfortable working with Excel and reporting tools
- Excellent communication and interpersonal skills, with a service-focused approach
- Ability to prioritise tasks, maintain confidentiality and work both independently and as part of a team
