About The Role
We’re looking for an experienced Project & Operations Coordinator to help our COO keep projects on track, processes clear, and teams accountable across our 60+ employee organization.
This is a full-time role (40 hours per week) with a strong focus on active monitoring, precise execution, and situational awareness. You will be the backbone of our operational clarity — building and maintaining Notion workspaces, documenting processes, and ensuring everyone stays aligned and on time.
In addition, you will explore AI integrations and process automation to help the business operate more efficiently.
What You’ll Do
- Set up and maintain Notion boards, trackers, and workflows.
- Create clear, step-by-step instructions and SOPs in Google Docs.
- Deliver weekly operational dashboards and progress updates to the COO.
- Maintain process documentation in Google Workspace and Notion.
- Monitor OKRs, deadlines, and task completion, and proactively follow up with teams.
- Support the design and continuous improvement of operational systems (e.g., process mapping, tool selection, internal communication flows).
- Explore and help implement AI tools and workflow automations (Zapier, Make, n8n).
- Provide regular updates and reports to the COO.
Working Hours
- Full-time, 40 hours per week.
- Mandatory presence and availability Monday–Friday, 9:00 AM – 1:00 PM UK time (GMT+0).
- The remaining hours can be worked flexibly, according to your own schedule.
- Start Date: ASAP, ideally before mid-August
What You’ll Bring
- 2+ years of experience in project coordination or operations support.
- Proficiency in Notion and Google Docs (essential).
- Very good written and spoken English communication skills.
- Proven ability to create clear instructions and organized documentation.
- High attention to detail and structured working style.
- Bonus: experience with AI tools, workflow automation platforms (Zapier, Make, n8n).

Salary
€1’200 – €3’000 gross monthly salary, depending on experience and skills.
