What you will do:

  • Office Operations & Management:
    • Manage and maintain the inventory of office supplies, proactively placing orders to ensure adequate stock.
    • Oversee the distribution and secure storage of all correspondence, including letters, emails, and packages.
    • Welcome and greet visitors to the office, directing them appropriately and ensuring a positive first impression.
    • Maintain the cleanliness, organization, and professional appearance of the reception area at all times.
  • Data & Documentation Management:
    • Prepare regular, accurate reports on expenses and office budgets, providing key financial insights.
    • Maintain and consistently update various company databases to ensure data integrity.
    • Develop and manage a systematic filing system for important and highly confidential company documents, ensuring easy retrieval and security.
  • Communication & Support:
    • Serve as a primary point of contact, efficiently answering queries from both employees and external providers.
    • Update office policies as required, ensuring all changes are communicated effectively.
    • Prepare detailed reports and presentations incorporating statistical data, as assigned, to support various departmental needs.
  • Event Planning & Coordination:
    • Actively participate in the organization and coordination of both in-house and external events, ensuring smooth execution from planning to completion.
What we are looking for:

  • 2-3 years of proven work experience as an HR Assistant or similar role
  • Solid knowledge of office procedures
  • Experience with office management software like MS Office (MS Excel and MS Word, specifically)
  • Strong organization skills with a problem-solving attitude
  • Excellent written and verbal English communication skills
  • Attention to detail
  • Ability to handle sensitive and confidential information with discretion Work Schedule & Location:
  • This is a full-time position with a working schedule from 9:00 AM to 5:30 PM.
  • Office presence is required 4 days a week, with potential for one remote day (details to be discussed).
  • This is a 1-year determined contract position.
