For our client we are currently looking for Candidates for the position of:

Project Coordinator

Location: Remote

Job type: B2B via Hays Poland

Start date: ASAP

Salary: 140- 170 pln/h netto+VAT

We’re looking specialist to:

• Part of a global transformation project
• Around 20 projects planned for 2025/2026.
• There is usually 1 PM for 2-3 projects.

Key Responsibilities:

• Assist with offshore management.
• Summarize key information from 20-30 projects to be escalated (missing targets/risks) to the portfolio manager/project analyst.
• Mobilize projects where gaps exist.
• Assist PMs with day-to-day project responsibilities and reporting across the portfolio of strategic initiatives.
• Will not be an individual PM but will work with PM.
• Coordinate project updates from the project team on key project management elements, such as project schedule updates, risk/issue registers, and project financials.
• Intervene to assist project teams in resolving risks, issues, and impediments as needed; escalate as needed.
• Own and direct aggregate portfolio reporting of progress against milestones, KPIs, and desired outcomes to senior management and/or governance bodies.
• Collect relevant data and perform analysis to support project/portfolio execution, as needed.
• Assist in meetings by taking notes and documenting action items.
• Schedule meetings and coordinate meeting logistics, materials, agendas, etc.
• Maintain distribution lists, SharePoint site, PTO calendar, and other project coordination artifacts.
• Assist in change management coordination as directed by project managers or supervising managers.
• Perform additional tasks as requested by supervising manager.

What we expect from you:

• Min 3-4 years in project coordination and commitment to help achieve results.
• Ability to follow instructions and verify work results.
• Good problem-solving skills.
• Ability to work effectively in a virtual environment and independently, if necessary, from time to time.
• Bachelor's degree (preferably with emphasis in project management, business, IT) or relevant work experience.
• Experience coordinating projects from inception to final close.
• Understanding of project management methodologies, processes, procedures and tools (certification is an advantage).
• Experience or knowledge of MS Excel/PowerPoint/Project/Visio, SharePoint.
• Experience using PPO project management tool and/or MS PowerBI is an asset.
• has enough self-confidence to reach PM, motivate.
• has experience in project management, transformation programs, portfolio management.
• is characterized by building relationships + stakeholder management, self-confidence in negotiations.
• has the ability to prioritize requirements of 20-30 projects in the portfolio at different stages.
