Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant with over five years of experience to support our Chief Human Resources Officer (CHRO) and Chief Financial Officer (CFO). The successful candidate will play a key role in managing administrative tasks, ensuring the smooth functioning of the CHRO and CFO offices, and maintaining effective communication channels.
Key Responsibilities
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant with over five years of experience to support our Chief Human Resources Officer (CHRO) and Chief Financial Officer (CFO). The successful candidate will play a key role in managing administrative tasks, ensuring the smooth functioning of the CHRO and CFO offices, and maintaining effective communication channels.
Key Responsibilities
- Calendar and Meeting Management
- Coordinate, schedule, and manage complex calendars for the CHRO and CFO, ensuring alignment with organizational priorities.
- Organize internal and external meetings, including preparing agendas, briefing materials, and coordinating logistics.
- Handle last-minute scheduling changes and efficiently prioritize conflicting appointments.
- Travel and Itinerary Coordination
- Arrange international and domestic travel, including flights, accommodations, visas, and transportation.
- Develop comprehensive itineraries and ensure all travel logistics are seamlessly coordinated.
- Document Preparation and Data Management
- Prepare and edit correspondence, presentations, reports, and other documents.
- Handle confidential information with the utmost discretion and ensure data integrity across all managed files.
- Communication and Liaison
- Act as a primary point of contact between the CHRO/CFO and internal/external stakeholders.
- Coordinate communications, prioritize messages, and ensure timely responses.
- Build and maintain relationships with senior executives, board members, and business partners.
- Project Coordination
- Support the CHRO and CFO in tracking and managing ongoing projects and initiatives.
- Assist in preparing progress updates, tracking key milestones, and ensuring deliverables are met.
