Responsibilities

  • Employee Administration
  • Enter and update employee data in the internal HR system
  • Manage overtime requests and approvals
  • Prepare employee-related documents for both internal use and external authorities
  • Monitor and maintain employee medical records
  • Generate HR reports to support team leaders and managers
  • Payroll Support
  • Review regular and overtime hours
  • Prepare payroll input and salary instructions
  • Scan, file, and archive all payroll-related documents in compliance with audit requirements
  • Assist with monthly payroll closing tasks
  • Training & Development
  • Record training activities and maintain up-to-date training files
  • Register employees for external training programs
  • Track training compliance and send reminders to employees and managers
  • Assist with documentation for training reimbursement applications
  • Internal Communication
  • Contribute to monthly HR communications and presentations
  • Update internal communication channels regularly
  • Recruitment & Onboarding
  • Support recruitment activities: CV management, interview scheduling, candidate follow-up
  • Organize onboarding logistics: safety tours, badge creation, distribution of PPE
  • Handle offboarding processes: equipment return, badge deactivation, system updates

Candidate Profile

  • Proven experience in administrative support (HR experience is an asset)
  • Strong knowledge of administrative systems and processes
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with HR software (knowledge of DSK Systems is a plus)
  • Excellent time management skills, multitasking ability, and prioritization
  • High attention to detail and strong organizational skills
  • Strong ethics and commitment to confidentiality
  • Fluent in both English and French (spoken and written)
