About the Role
The HR Assistant position is an entry-level opportunity within a dynamic, fast-paced tech recruitment environment. This role is designed to provide comprehensive administrative and clerical support to the human resources function, with a particular focus on high-volume candidate management, recruitment coordination, and employee record maintenance. The position plays a crucial part in ensuring smooth HR operations and delivering a positive experience for both candidates and internal stakeholders in a rapidly growing Dubai-based firm.
Key Responsibilities
- Coordinate and schedule interviews, assessments, and onboarding activities for a large volume of tech candidates, ensuring timely communication and a seamless recruitment process.
- Maintain and update digital and physical employee records, ensuring accuracy, confidentiality, and compliance with local labor regulations and company policies.
- Assist in drafting and distributing job postings across various platforms, tracking applications, and managing candidate pipelines using applicant tracking systems (ATS).
- Support the onboarding process by preparing documentation, conducting orientation sessions, and facilitating the completion of required forms and background checks.
- Respond promptly to candidate and employee inquiries regarding HR policies, procedures, and general information, providing clear and professional communication.
- Prepare HR-related reports, presentations, and documentation for internal meetings and audits, ensuring data integrity and timely delivery.
- Collaborate with recruiters and hiring managers to ensure all recruitment and onboarding activities are executed efficiently and in alignment with business needs.
- Assist with organizing HR events, training sessions, and employee engagement initiatives, contributing to a positive workplace culture.
- Ensure compliance with UAE labor laws and company standards in all HR administrative processes.
- Support payroll and benefits administration by collecting and verifying employee data as required.
Required Experience & Skills
- Demonstrated ability to manage multiple administrative tasks simultaneously in a high-volume, fast-paced environment, with strong organizational and time management skills.
- Proficiency in using HR information systems (HRIS), applicant tracking systems (ATS), and standard office software such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent verbal and written communication skills in English, with the ability to interact professionally with candidates, employees, and management at all levels.
- High attention to detail and accuracy in data entry, record-keeping, and document preparation.
- Strong interpersonal skills, with a customer-service orientation and the ability to maintain confidentiality and discretion at all times.
- Basic understanding of HR processes, recruitment cycles, and onboarding best practices, particularly within the tech sector.
- Adaptability and resilience in handling shifting priorities and urgent requests in a dynamic work environment.
- Familiarity with UAE labor laws and HR compliance requirements is an advantage.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred.
- Previous internship or work experience in an HR or administrative support role is advantageous but not required for entry-level consideration.
- Certification in HR fundamentals (such as CIPD Level 3 or equivalent) is a plus.
- Fluency in English is required; additional language skills (such as Arabic or Hindi) are beneficial.
