Position Summary

The HR Shared Services Specialist provides comprehensive HR support for SHEIN’s logistics business (FTIC) in EMEA, with a primary focus on Germany. This role manages day-to-day HR operations, delivers high-quality service to employees and stakeholders, and ensures full compliance with German legal and regulatory requirements. While Germany is the principal area of responsibility, the Specialist may also support FTIC operations across other EMEA countries, and, where necessary, extend services to Non-FTIC operations. This flexibility aligns with SHEIN’s strategy to build an integrated, scalable shared services model throughout the region.

Key Responsibilities

  • Manage HRSS for SHEIN’s FTIC operations in Germany, including but not limited to HR administration, employee lifecycle documentation, and HR data management.
  • Handle HR administration and operation queries from employees, liaising with HRBPs, internal stakeholders and vendors where required.
  • Ensure accurate and timely processing of contracts, employment changes, benefits, and other HR-related documentation.
  • Provide support on HRSSC operations for other FTIC operations in EMEA and, where required, for Non-FTIC operations across the region.
  • Assist in developing, maintaining, and harmonising Standard Operating Procedures (SOPs) across different country clusters to ensure consistency.
  • Participate in regional initiatives to standardise, automate, and optimise HR service delivery.
  • Remain adaptable to changing business priorities that may require expansion of scope beyond logistics or Germany.
  • Maintain SOPs and ensure compliance with both company policies and local employment laws.
  • Support audits, inspections, and compliance reviews by providing accurate and timely HR data.
  • Identify inefficiencies and propose solutions for improved process control and compliance sustainability.
  • Work closely with the EMEA HRSSC Manager and HRBPs to provide end-to-end operational support.
  • Collaborate with internal stakeholders and external vendors across multiple jurisdictions.
  • Foster a shared services culture that emphasises service excellence, scalability, and continuous improvement.

Competencies

  • Administrative precision: Highly organised with strong record-keeping, scheduling, and data management capabilities.
  • Attention to detail: Accuracy in processing HR documentation, contracts, and compliance-sensitive tasks.
  • Communication: Strong communication skills in English and German; other languages an advantage. Ability to interact effectively with employees, managers, and external authorities.
  • HR expertise: Understanding of HR policies, procedures, and European employment legislation.
  • Customer focus: Committed to delivering responsive and professional HR services.
  • Analytical ability: Capable of interpreting HR data and providing insights for process and policy improvement.
  • Collaboration: Strong team player, adept at cross-border and cross-cultural teamwork.
  • Adaptability: Resilient and agile in a dynamic, high-growth, and evolving business environment.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related discipline.
  • Demonstrated experience in HR shared services or HR operations, ideally within a multinational setting.
  • Strong interpersonal and cross-cultural skills; proven ability to manage complexity across jurisdictions.
  • Evidence of adaptability and continuous learning in systems, processes, and regulatory frameworks.
  • Must have fluent German and English, both written and spoken.
  • Additional European languages are desirable.
