People Operations Specialist

People Operations Specialist (Payroll + Administration + Labor Law + Operations + People Culture) - Quantum - Munich

We are currently partnering with an exciting and well-funded quantum computing start-up based in Munich. Founded by experts with extensive experience in both academia and research, the company is pioneering the development of innovative solutions in the quantum computing space.

As the business expands we are looking for a People Operations Specialist to join the team in Munich.

Responsibilities:

• Ensure accurate monthly payroll in collaboration with internal and external stakeholders
• Build and maintain dashboards, HR KPIs, and management reports (headcount, personnel costs, budgets)
• Coordinate national & international travel logistics for employees and visitors (incl. accommodation, transfers, and expenses)
• Support and improve HR administration: onboarding/offboarding, contracts, certifications, and digital records
• Maintain and optimize HR systems and tools (e.g. Personio, Excel, Planner, SharePoint)
• Serve as key contact for authorities, insurance providers, and tax advisors on daily topics
• Standardize and enhance HR processes by creating SOPs, checklists, and continuous improvements

Your profile:

• Degree or vocational training in HR, business, or law
• 2+ years of experience in operational HR, with strong payroll and admin focus
• Advanced Excel skills (pivot tables, formulas, data visualization); Personio experience is a plus
• Solid knowledge of German labor law, social security, and payroll tax regulations
• Highly organized, detail-oriented, and proactive with a passion for process improvement
• Experience coordinating business travel and visitor logistics
• Strong communication skills with a service-oriented mindset
• Fluent in German (C1+) and English (C1), written and spoken
• Willingness to work on-site at least 3 days/week (relocation support available)
