Do you thrive on working with data, enjoy bringing structure to complex processes, and have a sharp eye for detail? We’re looking for a People Operations Specialist to join our clients HR team. In this role, you’ll play a central part in shaping efficient, compliant, and data-driven HR processes across the entire employee lifecycle. You’ll work both hands-on and analytically, with a high degree of ownership – right at the heart of our organization.
What you’ll do
- Prepare and ensure the accuracy of monthly payroll in collaboration with internal and external stakeholders
- Develop and maintain dashboards, HR KPIs, and management reports (e.g., headcount, personnel costs, budget)
- Organize and coordinate travel and visit logistics for employees and guests (national and international), including accommodation, transfers, and expense processing
- Support administrative HR processes such as onboarding/offboarding, contract management, certifications, and digital records management
- Maintain and further develop HR systems (e.g., Personio) and tools (Excel, Planner, SharePoint)
- Act as the main contact for authorities, insurance providers, and tax advisors on day-to-day topics
- Document, standardize, and continuously optimize HR processes by creating SOPs, checklists, and process improvements
Qualifications
- Completed vocational training or degree in HR, business, or law
- 2+ years of professional experience in operational HR, with a focus on payroll and administration
- Strong Excel skills (pivot tables, formulas, data visualization); experience with Personio is a plus
- Solid knowledge of German labor law, social security, and payroll tax regulations
- Excellent organizational skills, accuracy, and a proactive mindset
- Experience coordinating business travel and visitor management
- Analytical thinker with a structured approach and passion for process improvement
- Service-oriented, strong communicator, and able to stay calm under pressure
- Fluent in German (C1+) and English (C1), both written and spoken
- Willingness to work on-site in Garching near Munich at least 3 days per week (relocation support available if needed)
