Project Management Officer (PMO) – Executive Assistant to CEO
Overview:
We are a leading Company based in Abu Dhabi, dedicated to delivering exceptional services to our clients. We are looking for a proactive and detail-oriented individual to join our team as a Project Management Officer (PMO) – Executive Assistant to CEO. This role is essential for ensuring the smooth functioning of the CEO’s office, driving governance, and supporting project coordination across various initiatives.
Job Responsibilities:
Executive Support:
- Manage the CEO’s calendar, ensuring efficient scheduling and prioritization of meetings and commitments.
- Attend meetings with the CEO, document action items, and track progress to ensure timely follow-up and completion.
Project Coordination:
- Monitor multiple projects to ensure they are delivered on time, highlighting areas of concern to the CEO.
- Act as a liaison between the CEO and senior stakeholders to ensure accurate communication and understanding of project requirements and updates.
- Support the CEO on ad hoc projects by coordinating activities, timelines, and deliverables.
Governance and Documentation:
- Review documents submitted for CEO approval to ensure compliance with governance standards and accuracy of information.
- Maintain proper documentation and ensure adherence to organizational policies.
Stakeholder Management:
- Coordinate with senior stakeholders to ensure timely and accurate information exchange.
- Build and maintain strong relationships across departments to facilitate effective collaboration.
Performance Monitoring:
- Track and report on key performance metrics, assisting the CEO in reviewing business performance.
- Provide insights and recommendations based on data analysis.
Administrative Tasks:
- Handle administrative duties such as preparing reports, presentations, and correspondence.
- Ensure disciplined follow-ups and efficient handling of priorities.
Competencies and Skills:
- Documentation and Governance: Strong attention to detail with the ability to ensure compliance and accuracy in all documentation.
- Administrative Expertise: Highly proficient in administrative tasks, including calendar management and documentation.
- Project Management: Proven ability to coordinate multiple projects and ensure timely delivery.
- Communication: Excellent written and verbal communication skills, with the ability to interact effectively with senior stakeholders.
- Organization and Prioritization: Exceptional organizational skills with a sense of prioritization to manage the CEO’s time effectively.
- Analytical Thinking: Ability to work with numbers and performance data to provide meaningful insights.
- Problem-Solving: Strong problem-solving skills to address challenges and propose solutions.
Qualifications and Experience:
- Bachelor’s degree in business administration, Management, or a related field.
- Project Management Certification is preferable.
- 5+ years of experience in an executive assistant or project coordination role, preferably supporting C-suite executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong understanding of governance and compliance processes.
- Experience in working with senior stakeholders and liaising with cross-functional teams.
- Experience in the Catering industry is an advantage but not mandatory.
