About the Role:
We are seeking a HR Specialist to join our Human Resources team in Kviv. This role is essential for ensuring the smooth operation of HR processes in Ukraine, with a focus on administration, payroll, and recruitment. The ideal candidate will be experienced in both operational HR and talent acquisition, capable of supporting local compliance while helping attract and retain top technical and operational talent.
You will be responsible for managing the local employee lifecycle, payroll coordination, and serving as a key point of contact for Ukrainian HR matters. The role offers the opportunity to work in a high-growth, international environment where autonomy and attention to detail are key.
This position reports to the Head of Legal & Compliance, who also oversees all HR topics at Orbotix.
Key Responsibilities:
HR Operations & Compliance
- Prepare and manage employment contracts, annexes, and documentation in line with Ukrainian labor legislation.
- Ensure local HR policies, procedures, and templates are aligned with legal and company requirements.
- Maintain and update employee records (digital and physical), ensuring full GDPR compliance.
- Support audits, reporting, and liaise with external payroll/accounting providers.
Payroll & Benefits
- Oversee end-to-end payroll preparation and submission in coordination with external providers.
- Track and process inputs such as time-off, sick leave, taxes, benefits, bonuses, and deductions.
- Administer employee benefits (meal vouchers, medical insurance, allowances) and coordinate updates with vendors.
- Collaborate with Finance to ensure smooth monthly closing and reconciliations.
Recruitment & Onboarding
- Own the recruitment process for local technical and operational roles: job postings, screening, interviews, and offer coordination.
- Partner with hiring managers to define job needs, role scope, and selection process.
- Participate in employer branding and sourcing initiatives (job fairs, campus outreach, LinkedIn, etc.).
- Manage the onboarding and offboarding experience from an HR and documentation standpoint.
People Support & Local Culture
- Be the go-to HR contact for Ukrainian employees and managers regarding policies, processes, and HR questions.
- Support internal events, onboarding logistics, and culture-building activities at the Lvivsite.
- Contribute to implementation of regional People & Culture projects as needed.
Requirements:
- 2+ years of experience in HR, with strong exposure to payroll, HR admin, and recruitment.
- Deep understanding of Ukrainian labor law and employment practices.
- Proven experience managing payroll processes (internal or with third-party providers).
- Solid background in technical or operational recruitment, ideally in a tech, industrial, or engineering environment.
- Strong communication and organizational skills, with attention to detail and discretion.
- Proficiency in Microsoft Office Suite, HRIS tools (e.g., Zoho or alternatives), and document management.
- Fluency in Ukrainian and English (written and spoken).
Bonus Skills:
- Experience working in a startup, manufacturing, or hardware tech company.
- HR certification or training in payroll/comp & benefits is a plus.
- Additional languages (e.g. Polish, Spanish, or Romanian) are a strong asset.
