Join our dynamic team as a Junior HR Coordinator, where you'll be at the heart of our HR operations and gain valuable experience across all areas of human resources. The Information and Privacy Commissioner of Ontario is an administrative tribunal responsible for the Freedom of Information and Protection of Privacy Act (FIPPA), the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), the Personal Health Information Protection Act (PHIPA) and the Child, Youth and Family Services Act (CYFSA).
What can I expect to do in this role?
Role
As a key member of the HR team, you'll play an important role of supporting the entire employee lifecycle. You’ll:
Recruitment & Onboarding Support
- Collaborate with hiring managers to coordinate and support recruitment activities, including posting job ads, scheduling interviews, assisting with reference checks and hiring paperwork, to ensure a seamless and efficient hiring process.
- Facilitate new hire onboarding and orientation, ensuring a smooth and welcoming transition for all new employees.
- Assist in the review and continuous improvement of the IPC’s HR policies, procedures and templates to ensure legislative compliance and support organizational goals.
- Develop and maintain procedural documentation and ensure consistency and fairness across the organization.
- Support employee engagement initiatives, recognition programs, related events and special projects continue to enhance the employee experience and build the IPC’s brand as an employer of choice.
- Research best practices in employee experience and identify opportunities to increase employee engagement and embed these practices within the organization.
- Maintain the HR intranet by ensuring it’s up to date with relevant and engaging content to keep employees informed and connected.
- Support training and development activities, including scheduling, logistics, and tracking participation to continue to foster a culture of learning and development.
- Collect and analyze feedback to help improve learning programs.
- Assist with the coordination of the IPC student program to bring fresh perspectives and innovative ideas to the organization including supporting onboarding, engagement and learning opportunities.
- Act as a primary point of contact for student employees.
- Maintain employee files and records with accuracy and confidentiality.
- Support payroll and benefit documentation processing.
- Prepare standard employment letters, status changes, and related HR documentation.
- Respond to routine employee inquiries and provide administrative support to the HR team.
Education and Experience
- Post-secondary education in HR or a related field, with up to 2 years of relevant work or co-op experience (or an equivalent combination).
- Experience organizing and prioritizing tasks using project management processes.
- Experience preparing reports and presentations using Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Familiarity with HR concepts and processes (recruitment, onboarding, employee engagement, learning and development).
- Strong analytical and problem-solving skills with attention to detail.
- Ability to research HR best practices and summarize findings for programs and policies.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and ability to work effectively with diverse groups.
- High degree of professionalism, discretion, and confidentiality.
- Ability to manage multiple administrative tasks and prioritize effectively.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
- Certified or working towards a Human Resources Professional (CHRP) designation
- Experience in a unionized environment.
- French language skills (oral and written).
- Experience with Applicant Tracking Systems (ATS) or HR platforms.

A list of qualified candidates will be established for the Junior Human Resources Coordinator position in the Information and Privacy Commissioner of Ontario (IPC) and will be in effect for twelve (12) months from the date the list is created.
