RESPONSIBILITIES  &  SPECIFIC ACCOUNTABILITIES:
 

o    Responsible for the employee life cycle administrative processes and ensure that HR documentation related to the employee lifecycle from employment offer and contracts, on-boarding, job descriptions, contract addendums, incentive/bonus administration to exit administration complies with HR standards and EMEA Shared Solutions procedures.

o    Manage the end-to-end onboarding process for new hires, coordinating closely with line managers to ensure a smooth integration. This includes organizing mandatory trainings such as Health & Safety, Employee Capital Plans (ECP), GDPR, and MyProtime system training.

o   Manage and own pre-employment preparation for new hires including welcome mails and new hire packages, liaise with all stakeholders for onboarding logistics, support the HR Manager in onboarding activities and ensure that new hires are provided the required first-day details. Collecting documents for Personal Files, creating hard copy files and electronic version

o   Issue referrals for medical examinations and keeping an up-to-date list of medical examinations.

o   Act as a point of contact for Human Resources queries including employee relations & requests (personal matters, ad hoc queries), interpretation and advice on policies, employment terms and conditions and relevant legislation. Build & maintain individual relationship with internal customers.

o   Providing all required by employees, certificates, salary statement, records of employment Coach & guide newly appointed line managers on specific policies, tools, other aspects with regard to direct reports; ambassadors on the program for new starters.

o   Own and drive a range of employee relations matters- including absence management, seniority awards and employee celebrations.

o   Any other tasks as assigned by the HR Manager, including Shared Solutions-related tasks.

o   Preparation of the contract for Company Car usage

o   Glasses Refund (Medical recommendation)

Social Fund Management

o   Manage the company’s Social Fund, including accurate expense tracking and reporting.

o   Conduct regular Social Fund Management Board meetings.

o   Ensure fair distribution of funds in line with agreed criteria.

o   Grant and report on Social Fund allocations.

Recruitment process support (at interim)

o   In collaboration with the EMEA recruiter, manage the end-to-end recruitment process using eCareer from requisition approval to acceptance stage and act as a first point of contact with external agencies and direct candidates for all elements of the recruitment and selection.

o   Partner with line managers and EMEA recruiter in conducting behavioral based interviews during the recruitment process.

o   Prepare/calculate employment offers for new starters, owns internal approval, extends offers to candidates.

HRIS Data Custodian

·         Responsible for timely, accurately updating of the HRIS (Oracle) system, input and maintain data in HR system to reflect changes and updates with a 98% accuracy.



  • Partner with C&B and HR partners on data validation and salary offer processes



People, Engagement & Projects

·         Active participation in local and global HR projects

·         Partner with Finance on HC & recruitment cost processes

·         Partner with payroll on country specific employee queries related to benefits.

·         Partner with C&B and HR partners on data validation and salary offers. Co-organize and manage Krakow Team activities.
