The Project Coordinator is responsible for managing translation and localization projects from estimation to closure. This role involves planning, assigning resources, monitoring progress, ensuring quality, and delivering projects on time and within budget. The Project Coordinator also supports client satisfaction and ensures project profitability.
Responsibilities
Project Planning & Estimation: Prepare quotes (pricing and timeframe) for clients or Account Managers; organize scope information; analyze files (including Translation Memory); and select vendors to meet budget, deadlines, and resource availability.
Resource Assignment & Preparation: Assign translation/localization projects to internal and external resources according to quotes; prepare files based on resource needs; define which services are handled internally or externally; allocate tasks; and set clear expectations with due dates.
Project Execution & Monitoring: Coordinate and facilitate communication across teams and groups; monitor timely execution of assigned tasks; and track and report overall project progress.
Quality Validation: Gather final translated files and verify that Quality Assurance and Design teams delivered according to client specifications.
Project Delivery & Client Satisfaction: Deliver final files to the client, gather and review client feedback, and ensure client satisfaction with the project outcome.
Project Closure & Financials: Invoice projects, process translator invoices, and ensure project profitability.

Requirements
Education: Two-year college or technical degree.
Communication Skills: Ability to convey project parameters to clients, contractors, and coworkers to ensure clear expectations regarding services, time, and cost.
Problem-Solving: Ability to ask clarifying questions, analyze situations, and provide suitable solutions that acknowledge all parties.
Attention to Detail: Ensure quality translations and compliance with client instructions and project requirements by spotting potential errors before delivery.
Software Fluency: Ability to learn and work with project management systems and CAT tools (e.g., Dynamic Language project management system).
Customer Service: Act professionally, inspire client confidence, and provide supportive communications and positive results.
Organization: Manage tasks, schedules, and payments to complete projects on time and within budget; assist clients, contractors, and coworkers in staying organized to ensure successful execution.
Working hours: Monday to Friday, 8 am to 5 pm PST.
