Our client is a leading venture studio and growth accelerator that incubates and scales Web3 related companies pre- and post- TGE stages. As the organization continues to expand its operations, they are seeking a proactive and detail-oriented Office Administrator to join their team in Dubai. This role will play a key part in ensuring smooth day-to-day operations, supporting multiple business functions, and contributing to the efficiency of a fast-paced, innovation-driven environment.


Ideal Candidate

The ideal candidate will be a fluent English and Arabic speaker, with strong organizational skills and a solid background in IT. This role is ideal for someone who is dynamic and eager to support a fast-paced business environment, with exposure to innovative projects in the AI and Crypto sectors.


Key Responsibilities

  • Coordinate internal and external meetings, events, and virtual conferences.
  • Oversee scheduling, calendar management, and travel arrangements.
  • Draft, edit, and prepare business documents such as reports, presentations, and correspondence.
  • Deliver administrative assistance across departments, ensuring smooth operations and team support.
  • Manage routine office duties including filing, call handling, email correspondence, and document drafting.
  • Contribute to project management by monitoring timelines and deliverables.
  • Handle basic finance activities such as processing invoices and monitoring budgets.
  • Provide scheduling and travel support for senior leadership.
  • Oversee daily administrative workflows to maintain efficient office operations.


Qualifications & Requirements

  • Minimum of an associate-level qualification; a bachelor’s degree is considered an advantage.
  • At least 2 years of proven experience in an administrative or office support role.
  • High proficiency in both English and Arabic, with excellent verbal and written communication skills.
  • Solid technical foundation with strong command of productivity platforms such as Notion, Google Workspace, and MS Word.
  • Strong organizational skills with the ability to handle multiple priorities while maintaining accuracy.
  • Service-focused mindset combined with clear and professional communication abilities.
  • Capable of independently managing demanding administrative responsibilities.
  • Previous experience in an IT-focused environment is essential.
  • Background or exposure to AI or blockchain/crypto initiatives is considered a plus.
