Who We’re Looking For


We’re hiring an Executive Assistant / Project Manager who is proactive, systems-minded, and thrives on keeping complexity simple. Your job is to help two founders stay focused by translating inputs (meetings, Slack, email, and calls) into clear, actionable next steps. You’ll manage calendars, pipeline tasks, and client deliverables so momentum never stalls.

The right person for this role is partnership-minded and detail-oriented, but also willing to raise a hand when you see a smarter way. You communicate with clarity, anticipate needs before they’re voiced, and follow through until things are finished. If you love bringing order to chaos, spotting efficiencies, and making sure nothing slips through the cracks, you’ll fit right in.


Role Responsibilities


Calendar & Coordination

  • Own scheduling, keeping calendars clean, organized, and moving forward.
  • Track client deliverables (like audits) and schedule working blocks.
  • Reschedule quickly when prerequisites or info are missing.

Tasks, Pipeline & CRM

  • Turn conversations (calls, Slack, meetings) into clear tasks with clear owners.
  • Keep pipeline tasks moving - create, follow up, close the loop.
  • Maintain CRM/CSM records and send LinkedIn connection invites.

Client Experience & Prep

  • Add thoughtful touches and consistent updates that make clients feel seen.
  • Prep call materials: decks for sales calls, agendas for client calls.

Marketing & Operations Support

  • Keep marketing trackers updated with fresh data.
  • Research vendors/resources; build and maintain our “Connection Hub” of experts.
  • Edit and polish documents; update website pages and email sequences.
  • Spot opportunities for automation/AI and share ideas.
  • Pitch in on light video editing.

Job Requirements (apply only if you meet these)


  • 1–2 years of experience in administrative support, project coordination, or a similar role where you kept things moving behind the scenes.
  • Excellent communication skills – both written and spoken. You can translate messy notes into clear next steps.
  • Tech fluency with tools like Google Workspace and Slack (bonus if you’ve touched CRMs or project management platforms).
  • Organized + proactive. You spot gaps, raise flags, and suggest improvements instead of waiting to be asked.
  • Task alchemist. You can turn inputs from meetings, Slack, email, and calls into clear tasks, and you make sure they don’t get lost.
  • Self-sufficient partner. Able to support two founders, juggle priorities, and manage your work with minimal oversight.


Nice to Have (but not required)


  • Experience with project management tools (Asana, Monday, ClickUp, etc.).
  • Familiarity with CRM/CSM platforms (Copper, HubSpot, or similar).
  • Comfort with Airtable or building light dashboards.
  • Curiosity about automation and AI tools (Zapier, Make, ChatGPT, etc.) and how they can improve workflows.
  • Light design/editing skills (Canva, Google Slides, basic video editing).
  • Experience supporting consulting, coaching, or professional services businesses.
  • Prior work in a fast-paced, founder-led environment where priorities shift quickly.

Compensation & Employment Type


  • Independent contractor, part-time (approx. 20 hrs/week)
  • Monthly payment starts at $650 USD
