We are currently looking for a full-time People Operations employee in Paris to join our Human Resources department . If you meet the requirements and would like to revolutionize the world of coffee from a sustainable perspective with a positive impact, we would love to meet you! :)
TASKS:
Recruitment & Selection
- Serve as the first point of contact for recruitment needs related to Barista and HQ positions.
- Draft job descriptions and benchmark salaries.
- Publish job postings, screen CVs, send rejection emails to unsuccessful candidates, and respond to candidate inquiries.
- Schedule and manage interviews, in coordination with City Managers.
- Coordinate the onboarding of new hires and schedule training sessions in collaboration with City Managers.
- Oversee administrative registration processes.
- Set up internal tools and access (Microsoft, Odoo, Numbrs, etc.).
- Calculate complementary hours, holiday pay, co-branding and night shift bonuses, transport reimbursements, sick leave, and unpaid leave at month-end.
- Prepare monthly salary cost reports by point of sale.
- Address and resolve payroll-related queries.
- Manage all administrative processes related to resignations, objective and disciplinary dismissals, and end-of-probation terminations (including drafting termination letters, final payroll, and internal account closures).
- Ensure full legal compliance in offboarding processes, including notice periods and labor law requirements.
- Conduct exit interviews to identify reasons for departure and opportunities to improve retention.
- Assign barista shifts in alignment with the City Manager’s operational strategy.
- Publish weekly schedules and process updates shared by Trainers outside of office hours.
- Approve internal shift change requests and leaves and update replacements accordingly.
- Maintain and administer the HRIS (Factorial), including:
- Contract management (signatures, renewals, contractual updates)
- Probation period tracking
- Vacation and leave policies
- Draft official warnings and disciplinary actions based on incident reports from Trainers or City Managers.
- Provide HR metrics (KPIs) such as turnover, payroll costs, and absenteeism to support decision-making.
- Improve internal processes and automate routine HR tasks to boost efficiency.
- Ensure full compliance with local labour laws, including collective bargaining agreements and legal obligations related to payroll, penalties, and benefits.
- Mediate internal conflicts and resolve workplace issues in a professional and constructive manner.
- 1 to 2 years of experience in Human Resources, ideally in fast-paced environments such as hospitality, retail, or startups.
- French and English speaker. Spanish will be highly valuable.
- Previous experience managing HR admin, onboarding/offboarding, and shift planning.
- Familiarity with French labour law and payroll basics is required.
- Experience working with HRIS systems (e.g. Factorial, Personio, etc.).
- Strong organizational and time management skills.
- Problem-solving mindset with the ability to act quickly and pragmatically.
- High attention to detail, especially in administrative tasks.
- Comfortable with digital tools and willing to improve internal processes.
- Collaborative mindset, able to work closely with City Managers, Trainers, and HQ teams.
- Full-time permanent contract.
