The Technical Project Manager orchestrates the end-to-end delivery of AI-driven automation projects across voice, workflow, CRM, and operational systems. This role blends project management rigor with hands-on technical oversight, ensuring AI and automation initiatives drive measurable business impact. The right candidate thrives at the intersection of technology, operations, and execution—building systems that scale and last.

Core Responsibilities

Project Leadership

Own project timelines, resource allocation, and stakeholder communications across AI and automation initiatives.

Translate business requirements into actionable project roadmaps that align with operational objectives.

Use ClickUp to manage tasks, dependencies, sprints, and cross-team coordination.

Technology & Automation Oversight

Design and review workflow architectures (n8n or similar), ensuring optimal automation logic, efficiency, and scalability.

Guide implementation of AI across multiple domains:

Voice AI (conversational agents, call automation)

CRM automations (Salesforce, HubSpot, Close.com)

Business operations automations (invoicing, reporting, HR, scheduling, marketing workflows)

Identify opportunities to streamline processes and integrate AI to reduce costs, improve efficiency, and enhance customer experience.

CRM & System Integration

Oversee integrations with Salesforce, HubSpot, Close.com, and other platforms.

Ensure data integrity, cross-platform sync, and alignment with business workflows.

Quality Assurance

Establish testing protocols for AI agents, automation workflows, and cross-platform integrations.

Monitor performance and continuously optimize for speed, accuracy, and reliability.

Technical Documentation

Produce workflow diagrams, integration playbooks, and technical specifications.

Maintain a knowledge base of automations and best practices.

Cross-Functional Coordination

Act as the bridge between AI engineers, developers, operations, and business stakeholders.

Ensure prompt engineers, workflow architects, and developers stay aligned with business outcomes.

Requirements:

Technical Skills

Workflow Automation: Advanced experience with n8n or similar platforms; knowledge of design patterns and best practices.

CRM Platforms: Expertise in Salesforce, HubSpot, Close.com APIs, data models, and automation strategies.

AI & Automation: Working knowledge of conversational AI (Retell, Trillet, Bland), AI-driven marketing workflows, and operational AI systems (e.g., HR, finance, reporting).

Project Management: Expert in ClickUp for project tracking, reporting, and team collaboration.

Technical Analysis: Ability to review code, evaluate risks, and provide architecture guidance.

Experience Requirements

3+ years managing technical projects in AI, automation, or systems integration.

Hands-on experience with workflow automation (n8n, Zapier, Make, etc.).

Proven track record with CRM implementations and automation builds.

Background in voice AI projects is a plus, but broader AI/automation expertise is essential.

Experience working in operationally complex environments, with a strong grasp of scaling processes.

KPIs / Success Metrics

The success of this role will be measured by:

Automation Coverage: % of business processes successfully automated across sales, marketing, and operations.

Efficiency Gains: Reduction in manual hours per month achieved through automation.

System Reliability: Uptime and error rates for automations, integrations, and AI agents.

Adoption & Usability: Internal team adoption rates of new automation tools and workflows.

Business Impact: Cost savings, revenue enablement, or measurable improvements in customer experience tied to automation initiatives.

Project Delivery: % of projects delivered on time and within scope, tracked in ClickUp.
