The Personal Assistant (PA) will provide high-level administrative support to the Regional CEO, as well as potentially other C-suite executives as required, ensuring efficient day-to-day operations, effective time management, and seamless coordination across business activities. The role requires a high level of discretion, initiative, and professionalism, acting as a key point of contact between the executive team and internal/external stakeholders.
Responsibilities
Executive Support
- Manage and maintain the CEO’s calendar, ensuring efficient scheduling of meetings, calls, and travel.
- Prepare briefing notes, agendas, presentations, and reports for internal and external meetings.
- Coordinate complex travel arrangements, including regional and international trips, visas, and itineraries.
- Handle confidential information with discretion and maintain the highest level of professionalism.
Strategic & Operational Support
- Support the CEO in monitoring and following up on strategic initiatives, ensuring deadlines and deliverables are met.
Communication & Stakeholder Management
- Liaise between the CEO and internal/external stakeholders (partners, clients, and employees).
- Support the CEO in managing stakeholder relationships across different countries in the region.
- Coordinate and prepare for regional leadership conferences, townhalls, and client events.
Office & Team Coordination
- Oversee administrative support within the CEO’s office to ensure smooth operations.
- Manage expense reports, approvals, and budgets related to the CEO’s office.
Special Projects
- Take ownership of ad-hoc projects as delegated by the CEO, often involving cross-functional coordination.
Qualifications
- Minimum 5 years’ experience in an executive assistant or senior administrative role, ideally within the insurance sector
- Experience supporting C-suite or senior executives in a fast-paced, international environment.
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Strong written and verbal communication skills
