Strategy Development and Implementation:

  • Develop and implement PMO strategies aligned with the Group's vision, mission, and objectives.
  • Ensure PMO strategies and plans are developed and executed in line with the organization's vision and mission.
  • Work with relevant departments to ensure project and program alignment to the overall strategy and transformational pillars
  • Provide subject matter expertise and counsel to Group leadership on PMO-related areas.

Leadership

  • Manage and lead the PMO team to achieve objectives through effective leadership, goal setting, performance management, and talent development.
  • Foster a value-driven culture within the PMO, acting as a role model for organizational values and ethics.

Budgeting and Financial Performance:

  • Oversee and manage the yearly budgeting process to identify new initiatives and projects that will form the yearly budget , understanding key objectives of each initiatives, scope and proposed timelines
  • Manage project financial reporting across major and light projects for informed decision-making and monitor financial performance against agreed budgets Monitor project profitability and performance, ensuring adherence to financial targets and objectives.

Policies, Systems, Processes & Procedures:

  • Implement PMO policies, systems, processes, procedures, and controls to deliver quality services while meeting regulatory requirements

Program Management Excellence

  • Manage the design, maintenance, and continuous improvement of program and project management frameworks, standards, methodologies, and tools to drive successful execution and achieve key project objectives
  • Manage the development, maintenance and continuous improvement of yearly portfolio and project planning based on priorities, dependencies, capacity, and value maximization to achieve a streamlined project delivery process
  • Lead the PMO to ensure operational excellence in program and project delivery, optimizing technical, operational, financial, and managerial aspects.
  • Evaluate and present change requests to the Project Oversight Management Committee (POMC) for approval, ensuring alignment with strategic objectives.
  • Evaluate the impact of changes on project scope, budget, and schedule, enhancing project control and risk management.
  • Provide direction and guidance for overall program management and progress across the Group, identifying and addressing risks and issues.

Resource Optimization:

  • Define and guide negotiation and contracting plans for projects, collaborating with the Procurement department.
  • Negotiate with vendors to secure favorable terms and optimize resources within budget.
  • Manage the benefits realization process ensuring benefits of each project is clearly identified with measurable KPIs at the Business Case stage and then tracked throughout the project lifecycle, ensuring targeted benefits are clearly defined, tracked, and realized via key metrics throughout the project lifecycle.
  • Manage and present outcomes from the demand management process to the Director, PMO & Digital Transformation , aligning resource allocation with strategic priorities.
  • Present consolidated resource planning to the POMC for transparent insights and informed decision-making

Quality Assurance:

  • Create and present project-specific compliance lists to the POMC for transparency and governance.
  • Manage the implementation of quality standards across projects, ensuring client expectations are met in line with high quality project deliverables
  • Provide project-specific Key Performance Indicators (KPIs) and standards to monitor performance and drive continuous improvement.
  • Present recommendations for improvement identified during project management to reduce bottlenecks and ensure overall project success.
  • Ensure the integration of industry-leading practices, changes, and market trends and work with Project and Program Managers to ensure practices are integrated into project lifecycles from initiation to execution phase
  • Manage and develop reports and analysis on transformation progress to enable Director PMO & Digital Transformation and Leadership to make key decisions that will improve operational excellence within the Group
  • Deliver awareness and training sessions on operational excellence to enable active participation in transformation initiatives.

Key Stakeholder Engagement:

  • Collaborate with the Director, PMO & Digital Transformation to examine project progress and finalize monthly POMC presentation decks.
  • Introduce POMC to project sponsors, fostering partnerships for project success and stakeholder satisfaction.
  • Manage the regular coaching of key stakeholders, including onboarding project managers, to adhere to PMO standards and methodologies.
  • Manage and create monthly ADQ Performance report for the Director PMO & Digital Transformation to review and work with Finance team on any key metrics to support informed decision making
  • Manage and present changes in project scope or timelines to the Director, PMO & Digital Transformation to allow key updates to be presented while communicating updates to executive leadership for streamlined project management.
  • Manage and guide the monthly calculation of project progress via PPM tool, providing detailed updates to senior management for informed decision making and strategic alignment.
  • Ensure functional reports meet Group requirements, policies, and quality standards.

Innovation & Change Management:

  • Lead continuous improvement of PMO systems, processes, and practices, considering global standards and changes in the business environment.

Risk and Business Continuity Management:

  • Manage the effective implementation of corporate frameworks, policies, procedures, and processes to promote a culture of risk management, QHSE, and business continuity within the PMO.
  • Manage and implement a project risk management plan aligned with PMO strategic objectives and regulatory standards.
  • Work with Project and Program Manager to effectively report on program and project progress, proactively identifying and mitigating risks and issues.
  • Identify and present risk and issue logs in collaboration with the Project and Program Managers, presenting them to the POMC for informed decision-making.
  • Manage the closure of PMO risk and audit logs, ensuring all open actions with Audit are remediated with evidence in place while ensuring timely resolution of identified risks and issues
  • Enforce relevant actions on a project level, implementing mitigation strategies and corrective measures.
  • Adapt PMO governance based on risk and audit observations, enhancing processes and protocols to strengthen risk management practices.
