What You Will Do
- Own the employee lifecycle: Prepare employment contracts, collect required documentation (diplomas, IDs, visas), and manage signatures and archiving.
- Lead onboarding operations: Set up payroll, mutuelle, prévoyance, médecine du travail, tools access, and equipment to ensure a smooth first day for new joiners.
- Manage payroll & benefits: Oversee monthly payroll processes (e.g., via Payfit), input variable elements, and ensure timely salary payments and declarations.
- Support visa & work authorization processes, coordinating with external providers and ensuring compliance with French labor laws.
- Handle offboarding logistics: From exit interviews and account deactivations to final pay and document delivery (solde de tout compte, attestations, etc.).
- Maintain HR tools and records: Keep employee files up to date and ensure accurate records across HR systems.
- Coordinate with external partners: Work closely with the accountant, legal advisors, and service providers (mutuelle, payroll, etc.).
- Ensure legal & regulatory compliance: Stay on top of labor law updates, médecine du travail requirements, and internal policy documentation.
- Support team well-being & engagement: Organize internal events, offsites, and team rituals that reinforce a positive company culture.
- 2+ years of experience in HR operations, people admin, or office/people management
- Fluent in French and English, with a solid understanding of French labor law basics
- Experienced in payroll and HR admin tools like Payfit, Malibou, or equivalents
- Comfortable managing benefits (mutuelle, prévoyance), expense reports, and reimbursements
- Understands employment documentation requirements, including work permits and onboarding obligations (e.g. médecine du travail)
- Detail-oriented and structured, with a proactive mindset and strong sense of responsibility
- Tech-savvy and organized, ideally with experience using Pennylane, Qonto, or other finance/HR tools
- A kind, passionate, and ambitious team that’s grown from 15 to 35 people in 6 months.. and still growing!
- A key role: you'll be the very first full-time People Operations Specialist, with the chance to shape how we run and scale our operations
