We are currently recruiting for a Coordinator - HR Business Partnering to join our Group HR team in our HQ, located in DAFZA, Dubai Airport Free Zone.


Scope: The Coordinator is responsible for delivering end-to-end administrative and operational support across key HR processes, including onboarding, visa management, employee data handling, and system updates. Acting as a central point of contact, the role ensures timely coordination with internal teams and stakeholders to maintain compliance, enhance employee experience, and support seamless service delivery. All HR administrative activities lead to direct or indirect financial impact therefore accuracy is key.


Financial

  • Responsible for raising Purchase Requisitions and Purchase Orders in the appropriate system.
  • Facilitate bank updates within Fusion, ensuring simultaneous updates in EBS and saving of employee documents.
  • Responsible for bank update requests initiated by employees within a timely manner.


Customer

  • Responsible for collection of employee documents to facilitate onboarding activities.
  • Liaise with ICT team to initiate assets for new joiners.
  • Provide update to line managers regarding new joiners’ start dates for onboarding.
  • Assist with guiding employees through various HR processes, answering any questions they may have about the respective policies.
  • Liaise with Shared Services team for insurance renewal data collection, audit and census list preparation.
  • Facilitate any medical insurance requests during onboarding and throughout the employee lifecycle.
  • Provide ad-hoc support to the HR Business Partner as needed, this may include support with project related work.


Process

  • Manage end-to-end onboarding process including but not limited to visa processing, medical appointments, Emirates ID, and applicable medical insurance for new joiners. These tasks are also applicable at the time of visa renewal.
  • Ensure all employee records and onboarding trackers are up to date, accurate and recorded in Oracle and the internal ICT systems in accordance with company procedures.
  • Responsible for all employee data inputs in Oracle, in addition to uploading to employee file.
  • Responsible for updating all employee contracts with dates at the time of renewal and updating the dates in applicable systems and saving of the updated documents to employee folder.
  • Generate NOCs (Arabic and English) in the appropriate system, ensuring accuracy of employee information.
  • Responsible for documenting passport release at the time of collection.
  • Provide support to the HRBPs with the offboarding process which includes, cancellation of visa, insurance, ASP, EPC, return of assets and exit interviews.
  • Organise calendar invites of Lyra Webinars by liaising with internal stakeholders within a timely manner.


Innovation

  • Provide constructive ideas for improvements to processes and procedures that would deliver further efficiencies and HR service enhancements.
  • Manage calendars, schedules, and communication channels to ensure effective collaboration for the department.
  • Partner with Sr. Analyst to conduct regular audits on employee data and documentation.



Selection Criteria

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • 2–3 years of experience in HR operations or administrative support, preferably in a fast-paced environment.
  • Previous experience with HRIS tools, and proficiency in MS office suite
  • Excellent verbal and written communication skills
