DUTIES AND KEY RESPONSIBILITIES

HR Support:

  • Responding to employee enquiries, assisting with the development of HR documentation, and contributing to HR projects.
  • Co-Manage with Commercial team and Payroll Manager employee's sickness, rotas, holidays etc and maintaining and updating employee records, managing the HR ad hoc project.
  • Helping organize training sessions, workshops, and other employee development activities.
  • Providing support to implement HR policies and procedures and legal requirements.
  • Assist Payroll Manager with leaver process, including equipment return, resignation acknowledgment letters, confirm with the line manager and payroll on annual leave
  • Support Payroll Manager with data entry in the HR platform
  • Work with commercial team for exit interviews
  • Track and monitor all probation deadlines, working with commercial teams
  • Support management team with administration for all completion, failure or probation extensions
  • Track and monitor Visa status and minors' cases
  • Supply reference letters as and when required
  • Support with any new initiative or structure change affecting HR policies and procedures
  • Coordinate HR training with all new managers
  • Conduct and update basic HR training for new joiners

Onboarding/Recruitment :

  • Manage Field recruitment with Commercial team.
  • Work with Head of HR on Diptyque Talent page /LinkedIn
  • Plan and coordinate the logistics of new employee onboarding, including scheduling and preparing materials.
  • Conduct orientation sessions to introduce new hires to the company's culture, values, policies and procedures.
  • Schedule and coordinate onboarding activities, providing guidance and support to new hires throughout the process.
  • Ensuring completion of paperwork and following all legal and administrative compliance when onboarding candidates.
  • Assisting new hires with the completion of the necessary paperwork, including employee forms, benefits enrolment, and IT setup.

Others:

  • General ad-hoc support wherever required
  • Reception cover when needed.
  • Support on CSR Projects along side Office Manager and other departments.

Key Profile Requirements

  • Minimum of 3 years of experience in luxury retail experience.
  • Previous knowledge of WORKDAY HR platform in previous role is a must
  • Highly developed interpersonal, verbal, and written communication skills, including outstanding presentation skills.
  • Team player and Retail operational mindset.
  • Proactive, agile and flexible with innovative problem-solving skills.
  • Strong organisational skills and precise attention to detail.
