The Job: HR Assistant

The HR Assistant provides administrative and program management support to the HR department, including calendar management, document preparation, file maintenance, expense processing, and project support. This role supports the VP, People and Culture and works cross-functionally to help ensure the smooth operation of HR programs and initiatives.

What You'll Do

  • Calendar Management & Meeting Support – Schedule team meetings and events for the VP, prepare agendas and materials, capture and communicate action items
  • New Hire Support – Coordinate store visits for corporate new hires, schedule HR team introductions, and liaise with IT for laptop preparation
  • Expenses & Procurement – Partner with Procurement and Accounts Payable to process invoices, prepare and submit expense reports, and set up Purchasing Cards for new hires
  • Employee Queries & Support – Respond to inquiries via the HR Ops mailbox on policies, benefits, and procedures; process education reimbursement requests; escalate complex issues when required
  • Project & Program Support – Maintain HR project tracking spreadsheets, follow up on deliverables, assist with employee engagement surveys, training coordination, process improvements, and rollout of HR programs

  • Strong organizational skills with the ability to manage multiple priorities
  • Initiative, professionalism, and effective communication skills
  • Team-oriented, with the ability to work independently on routine matters
  • Proficiency with MS Office suite (Outlook, Word, PowerPoint, Excel)

Education + Experience

  • An interest in HR and eagerness to learn required
  • Previous administrative experience preferred
  • Bilingual in English and French is an asset

  • AI may be used to automate routine tasks such as scheduling meetings, preparing draft responses, or summarizing documents
