Overview:
We are seeking a detail-oriented and proactive Recruiting Assistant to support our talent acquisition team. This role is essential for ensuring a seamless candidate experience and an efficient recruiting process from requisition to onboarding.
Core Responsibilities:
- Candidate Sourcing Support.
- Post job ads across multiple platforms (LinkedIn, Indeed, and niche job boards).
- Conduct initial resume screening to identify qualified candidates.
- Build candidate pipelines using Boolean searches, LinkedIn Recruiter, and ATS databases.
- Schedule phone screens, interviews, and panel sessions across different time zones.
- Send confirmations, reminders, and follow-ups to candidates and interviewers.
- Ensure all interview logistics are prepared (Zoom/Teams links, assessment instructions, feedback forms).
- Maintain accurate, up-to-date candidate records in ATS/CRM.
- Track candidate progress through the hiring funnel.
- Generate reports on candidate pipelines, interview statuses, and time-to-fill metrics.
- Serve as the first point of contact for candidates, answering questions promptly.
- Provide timely communication and status updates to ensure a positive candidate experience.
- Prepare job descriptions, offer letters, and onboarding documentation.
- Manage reference checks and background screening logistics.
- Oversee recruiting email inboxes, calendars, and scheduling priorities.
- Strong organizational skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Ability to multi-task and manage multiple requisitions simultaneously.
- Proficiency with ATS platforms (JazzHR preferred) and Microsoft/Google Suite.
- Basic knowledge of sourcing strategies and recruitment best practices.
- High level of confidentiality and professionalism when handling sensitive candidate data.
- Education: High school diploma required; associate or bachelor’s degree in Human Resources, Business, or related field preferred.
- Experience: 2+ years of HR, recruiting, or administrative experience preferred.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office/Google Workspace; familiarity with ATS is a plus.
- High attention to detail and ability to maintain confidentiality.
- Friendly, professional demeanor with a customer service mindset.
- Ability to prioritize and multitask in a fast-paced environment.
